Job summary
Due to our practice growing, we are seeking to recruit an enthusiastic Reception / Admin Team Member on a full time basis to join our friendly, dynamic team! With a culture of delivering high quality care, you will act as the first point of contact for patients and visitors using the practice.
Main duties of the job
Previous experience of working in a GP practice is essential (and must be evidenced in your application) along with fantastic customer care, excellent communication skills and the ability to demonstrate an attention to detail
Our reception area is busy so a can-do attitude along with being able to prioritise and work under pressure is essential.
The role will predominantly be between 8am-4pm Mondays , Tuesdays, Fridays and 9am-5pm on Wednesdays and Thursdays but you will need to be flexible and work between 8am and 6.30pm over 5 days when covering for colleagues or in times of high demand within the practice
You will need to be reliable, professional and adaptable to excel in an ever changing environment
You will need to have a high degree of empathy, diplomacy and integrity and be able to demonstrate sensitivity and an awareness of patients needs
Due to the NHS commitment to moving to full electronic communications you must have excellent keyboard and computer skills, with a working knowledge of basic MS office programs such as Word / Excel and be comfortable communicating via email

Job responsibilities
- Greet patients and visitors to the practice in a courteous, efficient, professional end empathic manner
- Book in, amend and cancel patient appointment inline with practice appointments procedures ensuing optimum efficiency of the appointment system.
- Ensure those patients without appointments but who need urgent consultations are booked into appropriate slots with the appropriate clinician.
- Receive and accurately record requests for home visits, assessing urgency in accordance with the Practices protocols.
- Ensure computerised appointment system is up-to-date.
- Respond and/or redirect all patient and visitor requests appropriately
- Explain practice arrangements and formal requirements to new patients and temporary residents, ensure procedures are completed.
- Accurately take details of new patients and register new patients with the practice.
- Advise patients of relevant charges for private services, accept payment and issue receipts for same.
- Produce repeat prescriptions according to practice procedures and ensure timely distribution of completed prescriptions.
- Ensure correspondence, reports, results etc. are filed electronically in correct patient record.
- Ensure reception and waiting areas are kept neat and tidy
- Answering incoming telephone calls, ensuring calls are documented and redirected accordingly.
- Undertake administration tasks as allocated on rota organised by Reception Team Leader.
- Action start and end of day procedures ensure practice security is maintained.
- Ensure up-to-date maintenance of both computerised and manual filing systems (i.e. patient notes).
