Job summary

Based in Darwen Health Centre

We are looking for a hardworking, reliable, and well-motivated flexible person to join our busy team who strive to ensure that we deliver the best possible service to the Practices of Pennine Lancashire.

You will be responsible for all administration and office duties including speaking with practices face to face or over the telephone and will therefore need excellent customer service, organisation and communication skills and a good knowledge of windows-based computer systems including a working knowledge of Microsoft office applications.

A background in Primary Care or NHS administration is desirable though not essential as training and support will be available for the right candidate.

Membership of NHS Pension Scheme is automatic on appointment.

Main duties of the job

To be responsible for undertaking a wide range of administrative duties and the provision

of administrative support to the Operations Manager and extended Training Hub team.

Duties can include but are not limited to, the processing of information (electronic and hard

copy) in a timely manner, liaising with multidisciplinary team members and external

agencies such as secondary care and community service providers and in accordance with

current policies.

Job responsibilities

The following are the core responsibilities of the Administration Clerk. There may be on

occasion, a requirement to carry out other tasks; this will be dependent upon factors such

as workload and staffing levels:

a. Processing incoming and outgoing mail

b. File and store records as required.

c. Photocopy documentation as required.

d. Action all incoming emails

e. Process letters as requested.

f. Data entry of all relevant information

g. Process requests for information i.e., audits and reports

h. Answer incoming phone calls, transferring calls or dealing with the callers request

appropriately.

i. Manage all administrative queries as necessary.

j. Carry out system searches as requested.

k. Maintain a clean, tidy, effective working area at all times.

l. Support Operations Manager with general administrative tasks as requested.

In addition to the primary responsibilities, the Administration Clerk may be requested to:

a. Partake in audit as directed by the audit lead.

b. Produce meeting agendas and record the minutes of meetings.
