Job summary

An opportunity has arisen for a Assistant Practice Manager to join our team. The post holder will support the Practice Manager in all aspects of daily running of the practice including motivating and managing staff, optimising efficiency, and overall performance, ensuring achievement of long-term strategic objectives in a safe and effective working environment.

Ideally, we expect applications from someone with general practice experience, however candidates with managerial experience in a similar setting are also welcome to apply.

Main duties of the job

As a Assistant Practice Manager, you will be responsible for supporting the Practice Manager in the day-to-day operations of the practice. You will be expected to assist the partners in running the practice in the absence of the Practice Manager. You will be involved in a wide range of activities, including people management, business planning, handling financial systems for the practice (including payroll), training and supervising non-clinical staff, developing and supervising appointment systems that work well for patients and clinicians, ensuring accurate records are kept, and liaising with local health organizations such as integrated care boards and primary care networks.

About us

Firdale Medical Centre is a member of Northwich Primary Care Network. We currently look after over 10500 patients and also mentor and support one of the local nursing homes.

The practice is led by 4 partners and we employ 4 salaried GPs. To complete the clinical team we have two nurses and health care assistant, two pharmacists and musculo skeletal specialist.

We are also teaching practice supporting foundation and specialty doctors.

Job responsibilities

Personnel, training and development:

Assisting with recruitment, onboarding, and induction of the new staff members

Assisting with onboarding and induction of trainee doctors

Assisting with day-to-day management of the administrative staff and non-clinical management of nursing staff including daily job allocation where appropriate

Assisting in Maintaining HR compliant documentation and systems.

Assisting in annual leave management.

Business operation:

Assisting in ongoing review of all relevant policies and procedures

Be a first point of contact for day-to-day enquiries from staff team.

Managing extended hours rota and reports

Assisting in clinical meetings preparing agenda, taking notes, running the meeting in the absence of the practice manager.

Assisting practice manager in organising locum cover when required.

Premises and equipment:

Responsibility for security, repairs, insurance and maintenance of premises, services, and equipment.

Working with practice manager to ensure that the practice complies with aspects of Health & Safety at Work (HASAW) legislation.

Managing Premisses and Equipment Checks module on Team Net

Project Management:

Assisting practice manager in implementation of new projects, policies, and work systems.

IT Management:

Setting up new staff members, trainees, locum GPs etc on IT systems

On a day assistance with IT issues (within own capability, knowledge and skill)

IT system and user maintenance including adding and removing users, liaising with IT support teams in resolving any issues.

Patient services:

Working with Care Coordinator to manager practice PPG group and monthly meetings.
