Job summary

Heathfielde is looking for a Receptionist/Admin for its busy GP Practice. This position is part time 25-30 hours per week Monday to Friday. No Experience required but Customer service skills, IT skills would be an advantage but not essential. Training will be provided.

The successful candidate will be enthusiastic, hardworking, organised, self-motivated, excellent communicator and must be flexible to work both morning and evening shifts to cover 6 hours shifts between 8am and 6.30 pm.

Main duties of the job

The successful candidate will be responsible for undertaking a wide range of reception and admin duties / responsibilities (Training will be provided).

Provide and receive information face to face, over the telephone, in writing or by electronic mediums from patients, doctors, practice nurse, colleagues, managers, other external contacts (eg, pharmacist, secondary care, nursing homes, etc.).

About us

Our existing team is friendly and cohesive with high levels of experience. Practice team made out of 5 GPs , practice nurse, 2 HCAs, 2 clinical pharmacists, social prescriber, practice manager , admin and reception staff.

Job Summary:

Responsibilities

Operate the computerised appointment system in accordance with Access protocols. Receive and book in patients, monitor the patient flow, make emergency appointments and draw to the doctors notice any patients who might require immediate attention

Provide and receive information face to face, over the telephone, in writing or by electronic mediums from patients, doctors, practice nurse, colleagues, managers, other external contacts (eg, pharmacist, secondary care, nursing homes, etc.).

Advise patients of relevant fees for non-NHS services. Accept payment and issue receipts for non NHS income.

Open, sort and distribute internal and external post.

Liaise with consultants secretaries regarding patient referral queries and expedite appointments/tests as required.

When taking over a duty from another colleague at change over of staff, ensure that all relevant messages/detail are passed on to ensure continuity. Scan documents/ letters to the computer system.

Participate in staff meetings.

Participate in any in-house training that may be provided and attend any external training courses as may be considered appropriate to the duties of the post.

Ensure the reception and waiting areas are kept neat and tidy.

Cover for colleagues in the event of absence through sickness or holidays as required.

To file patients records in the correct manner.

To check and update patients addresses, telephone numbers etc, on both manual and computerised records.

Chaperone GP if required.
