Job summary

Corfton Road Surgery is a busy GP surgery in Central Ealing with easy transport links and approximately 9,500 patients.

We are seeking a proactive and preferably experienced part time GP receptionist (or similar experience) to cover a maternity leave to join our friendly and dynamic team. There is a possibility of a permanent position after the initial 9 months.

We have a mix working shift pattern, with reception staff either working in the mornings between 8.00 13.00 or 14.00 18.00. Ideally you would be able to do either shifts.

Main duties of the job

You would be the face of the practice and would be responsible for the smooth running of the front of house as well as back office. We require someone with excellent computer skills, a sense of humour and experience of working in a busy reception environment.

You would be expected to have great communication skills and an empathetic nature to be able to greet patients when they come in and take the many telephone calls we receive.

We would prefer a candidate who is SystmOne trained and has had previous experience of working in a GP Practice, but this is not essential as we would be happy to train the right person.

About us

We are a training practice who train doctors to become GPs and currently we have 3 GP registrars, as well as 2 GP Partners, 4 salaried GPs, a practice nurse, 2 healthcare assistants and a phlebotomist. The administrative team consists of 10 part time receptionist/administrators, a reception manager/deputy practice manager and practice manager. In addition, we are supported by pharmacists, a physiotherapist, a social prescriber and a mental health worker who are attached to the surgery.

To assist the practice in the delivery of high quality care to the patient population.

Organisational relationships:

Liaises with:

Internally: all other members of the practice team

Externally: the patients and carers, North West London ICB team, community services and members of other statutory bodies.

Main Responsibilities:

To recognise the need for confidentiality when dealing with the medical records for our patients at all times.

To ensure that information is accurately entered into the computer and that all activities are carried out in the best interests of the practice and its patients.

Carry out the duties described in a courteous and helpful manner and in the best interest of the practice and its patients.

To follow the policies and protocols of the practice

Reception

  • To act as the first point of contact for anyone visiting the surgery or calling on the telephone.
  • Dealing with incoming e-consultations and e-mail requests
  • To receive patients on arrival and direct them to the correct location when required.
  • To deal with verbal complaints from patients and escalate where necessary to the management team.
  • To deal politely and efficiently with visitors and, as a member of the practice team, provide a courteous and helpful service.
  • To ensure patient notes are correctly extracted and re-filed when necessary.
  • To ensure patient confidentiality is respected at all times and to adhere to the Data Protection Act and GDPR.
  • Answer telephone and deal with or re-direct enquiries.
  • Handle clinical samples and clinical waste according to protocol
  • Receive prospective patients, advice about registrations and deal with queries related to registration.
  • Answer queries with regard to results of recent tests e.g. bloods, urine or X-rays. This includes contacting the hospital(s) for those results if necessary. Inform patients, when directed by a doctor, of the need to make a follow-up appointment at the Surgery.
  • Take in requests for repeat prescriptions, hand out completed prescriptions and prepare the forms for a GPs signature when necessary.
  • Book and cancel appointments when necessary, contact the patient(s) and re-book if required.
  • Book patient hospital transport and interpreting when required.
  • Contact the emergency services, outside agencies such as local hospitals and community teams when necessary.
  • Liaise with doctors to make appointments for private medicals when required.
  • Deal with money transactions at the reception desk and record appropriately
  • At the start of each session period, open the surgery and GP rooms and ensure that everything is ready for the upcoming session. Also ensure the patient display is correctly set.
  • At the end of surgery check that the out of hours message system is working
  • On leaving the premises ensure the workstation computers are switched off, doors are locked or closed, if last to leave, the alarm is set.
  • Signposting patients to other services or clinicians when necessary.

Administrative & Clerical duties:

  • To register new patients
  • To deduct patients who are no longer with the practice
  • To deal with incoming and outgoing patient notes
  • To organise repeat prescriptions
  • To scan appropriate letters and documents onto patient records
  • Photocopying, printing and restocking forms as required
  • Deal with all incoming and outgoing mail, and e-mail appropriately
  • To ensure that existing patient information is correct and up to date
  • Be responsible for the disposal of confidential waste appropriately
  • Ensure that priority is given every day to the task list from clinicians
  • To deal with the e-consultations and communications via AccuRx

General duties:

  • Tidy up reception and office if necessary.
  • Other administrative and clerical duties as may be directed.
