Medical Secretary

Job summary

To be responsible for undertaking a wide range of secretarial and administrative duties and the provision of administrative support to the multidisciplinary team. Duties can include but are not limited to, the processing of information (electronic and hard copy) in a timely manner, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers in accordance with current policies, including the use of the electronic referral service (ERS).

This role requires on-site working. Remote or home working is not permitted

Main duties of the job

The GP Medical Secretary provides essential administrative support to doctors and clinical staff, ensuring smooth operation of the practice. This role involves managing correspondence, handling patient referrals, booking appointments, and maintaining accurate medical records with confidentiality and efficiency.

Key Responsibilities:

  • Correspondence & Documentation

    • Type clinical letters, reports, and referral forms accurately using audio dictation or handwritten notes.

    • Prepare and send referrals via e-RS (Electronic Referral System) and other NHS platforms.

  • Patient Communication

    • Liaise with patients to book, cancel or reschedule appointments when needed.

    • Notify patients of referral outcomes, hospital appointments, or follow-up actions.

  • Clinical Support

    • Support GPs with administrative duties such as managing their diary and clinical workload.

    • Ensure timely processing of test results, referrals, and clinic letters.

    • Coordinate with secondary care providers and local health organisations.

  • Records Management

    • Maintain up-to-date and accurate patient records using clinical systems (e.g., EMIS Web).

    • File and retrieve documents, ensuring compliance with data protection and confidentiality policies.

  • Administrative Duties

    • Manage and monitor shared inboxes and internal communications.

    • Assist with medical reports, insurance forms, and Subject Access Requests (SARs).

    • Contribute to audits, CQC compliance, and other regulatory processes.

All staff will be required to partake and complete mandatory training as directed by the training coordinator, as well as participating in the practice training programme.
