An exciting opportunity has arisen for an experienced and enthusiastic medical secretary to join our hardworking general practice team. Do you work well in fast-paced environments and have excellent attention to detail? Then this job might be the one for you!

Main duties of the job

Working as a medical secretary, you will prepare referrals and other letters for the GPs and other Healthcare Professionals based at the practice. You will be accurate and efficient at copy and audio typing, word processing and generally IT literate. You will work with the general practice team and communicate with patients and other health care professionals providing general secretarial and clerical support.

Led by our four partner GPs and located in a modern, purpose-build health centre, the team at Newbury Green are focused on patient care and wellbeing. We have over 12500 registered patients with our list growing every day and now is the time to expand our staff roster too. As well as doctors, our practice team consists of practice nurses, physician associates, healthcare assistants, pharmacists and is supported by our capable, friendly and experienced admin staff. From a humble beginning as a family-run small GP practice, we have expanded our team but still provide the same personal level of care we pride ourselves on.

Newbury Green Medical Practice is also heavily involved in our local Primary Care Network, working together with other nearby practices to provide additional services for Broughton patients.

Job responsibilities

Job Summary:

To provide general secretarial support to the Practice Manager, Doctors and Health Professionals involving word processing and audio typing skills with general clerical work as required

Experience Required:

The ideal candidate would have achieved a minimum of grade 4 or C in GCSE ICT or equivalent IT based qualification. They should be confident using Microsoft Office based applications with an advanced knowledge of word processing and a desirable typing speed of 65 wpm. Previous experience of working in a health care environment and familiarisation with medical terminology is advantageous.

Job Responsibilities:

  • To provide an efficient audio, copy typing and word processing service for GPs and Health Professionals as required. This includes the typing of letters, reports, patient referrals, minutes, memorandums, etc. in an accurate and quality manner.
  • To assist the Practice Manager with all clerical and administrative duties.
  • To make appointments, bookings and admissions as required.
  • To liaise and arrange meetings (to include the booking of rooms) as required and to attend meetings and take minutes.
  • To establish and maintain filing and administrative systems so that written or computer information is easily accessible and secure.
  • To retrieve medical records and assist the completion of medical/insurance records.
  • File patient records and correspondence in patient medical records.
  • To receive incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries.
  • To maintain the computer clinic system in an accurate and secure manner.
  • To assist with the gathering of statistics and information when required.
  • To provide cover for members of the secretarial team during periods of sickness and annual leave.
  • Promote, monitor and maintain best practice in health, safety & security and all aspects of safeguarding.
  • In liaison with the clerk responsible, maintain adequate supplies of office stationery in order to perform your secretarial duties.
  • To receive and dispatch mail and maintain a pending system.
  • To assist with note summarising procedures as required.
  • Use of appropriate clinical systems (e.g. Choose & Book / NHS e-referrals) and following up queries.
