Job summary

An exciting opportunity has arisen for an Administrator/Receptionist in our busy GP surgery for four mornings per week.  

We are looking for an enthusiastic and motivated team player who has excellent communication skills and a kind and caring nature.

Main duties of the job

Our admin/reception team are a pivotal part of our GP surgery and we pride ourselves on providing excellent patient care. The successful applicant must have proven customer service skills and a flexible approach to working with both the reception and admin teams.

About us

Experience of working in a healthcare setting and knowledge of SystmOne would be advantageous, but not essential, as full training will be provided.

We are a friendly rural GP practice in the picturesque village of Kimbolton, we have a practice population of around 7,000.

REPORTS TO: Practice Manager

HOURS: Part-Time 

Job summary:

Provide general administrative assistance to the practice team. To project a positive and friendly image to patients and other visitors, either in person or via the telephone.

Job responsibilities:

Administration

  • Scanning medical information into patient notes
  • To have a thorough knowledge of all practice procedures
  • To work in accordance of written protocols
  • Provide copies of medical records where requested
  • Summarising medical records
  • Email and photocopy as requested

Reception

  • Receiving patients, consulting with members of practice team
  • Be able to cover all reception positions as necessary
  • Process appointment requests for today/future appointments from patients by telephone and in person.
  • Deal with visit requests
  • Registration/deduction of patient records computer data entry and medical records
  • Process patients changes of address computer data entry and medical records
  • Preferably SystmOne proficient
  • Have working knowledge of telephone system

Other Tasks

  • Ensure building security have thorough knowledge of doors/windows/alarm
  • Any other tasks allocated by manager

  • In the course of seeking treatment, patients entrust us with, or allow us to gather, sensitive information in relation to their health and other matters. They do so in confidence and have the right to expect that staff will respect their privacy and act appropriately

Health & safety:

The post-holder will assist in promoting and maintaining their own and others health, safety and security as defined in the practice health & safety policy, the practice health & safety manual, and the practice infection control policy and published procedures. This will include:

  • Using personal security systems within the workplace according to practice guidelines
  • Identifying the risks involved in work activities and undertaking such activities in a way that manages those risks
  • Making effective use of training to update knowledge and skills
  • Using appropriate infection control procedures, maintaining work areas in a tidy and safe way and free from hazards
  • Actively reporting of health and safety hazards and infection hazards immediately when recognised
  • Keeping own work areas and general/patient areas generally clean, assisting in the maintenance of general standards of cleanliness consistent with the scope of the job holders role
  • Undertaking periodic infection control training (minimum annually)
  • Reporting potential risks identified
  • Demonstrate due regard for safeguarding and promoting the welfare of children.
