Job summary

Park Medical Centre is a successful, growing GP Training practice in the thriving community of Hoole, Chester. We are looking to recruit a motivated and committed Medical Receptionist to undertake a minimum of 15.75 hours per week, with the flexibility to cover additional shifts as necessary.

Main duties of the job

You will play a key role in handling patient administration requests and appointment booking, in addition to outbound call work to assist the practice in meeting its objectives with specific patient groups.

We are a progressive practice, embracing change and you would be expected to bring an independent and dynamic approach to this role with the adoption of new technology and methods of work.

About us

You will work as part of the Operations Team (Reception & Admin), and alongside the clinical team and Partners to deliver excellent patient centered healthcare. We are an EMIS Web practice with no current out of hours commitments although this may be subject to change in April 2021.

With just over 10,000 patients Park Medical Centre plays an active part in the care community meeting the needs of its patient population. Increasingly we are also working collaboratively with neighboring practices as part of Chester East Primary Care Network to drive the development of sustainable models of care. This will also extend to the range of additional roles being provided for under the PCN DES which we are actively recruiting to and rolling out services.

Job description

Job responsibilities

To be responsible for undertaking a wide range of reception duties and the provision of general support to the multidisciplinary team. Duties can include but are not limited to, greeting and directing patients, effective use of the appointment system, booking appointments, processing of information and assisting patients as required. To act as the central point of contact for patients, the distribution of information, messages and enquiries for the clinical team, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers.

Primary Responsibilities

The following are the core responsibilities of the receptionist. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:

a. Maintaining and monitoring the practice appointment system

b. Process personal, telephone and e-requests (e-consults) for appointments

c. Answer incoming phone calls, transferring calls or dealing with the callers request appropriately

d. Signpost patients to the correct service

e. Initiating contact with and responding to, requests from patients, team members and external agencies

f. Code data on EMIS

g. Photocopy documentation as required

h. Data entry of new and temporary registrations and relevant patient information as required

i. Input data into the patients healthcare records as necessary

j. Direct requests for information i.e. SAR, insurance / solicitors letters and DVLA forms to the administrative team

k. Manage all queries as necessary in an efficient manner

l. Carry out system searches as requested

m. Maintain a clean, tidy, effective working area at all times

n. Monitor and maintain the reception area and notice boards

o. Support all clinical staff with general tasks as requested

Secondary Responsibilities

a. Partake in audit as directed by the audit lead

b. Support administrative staff, providing cover during staff absences

c. Action incoming faxes and emails when necessary

d. Scanning of patient related documentation and attaching scanned documents to patients healthcare records

e. Complete opening and closing procedures in accordance with the duty rota

f. As required support for GPs, Nurse Prescribers and Medicine Managers in the management of repeat prescriptions, ensuring they are processed accurately and efficiently

g. Ordering and monitoring of stationery supplies as required
