Job summary

An exciting opportunity has arisen for a new Practice Manager at White Medical Group in Ponteland!

We are looking for an experienced, enthusiastic and highly motivated leader to manage and head up our friendly, supportive and experienced team.

We would like to appoint a new Practice Manager with excellent leadership, financial, HR and communications skills in particular, and a dynamic individual who can bring fresh perspectives and would thrive on the opportunity to help shape our future.

Main duties of the job

To manage and coordinate all aspects of the practice, including the Branch Site at Wylam. Responsible for the smooth and profitable running of the practice, optimising efficiency, ensuring the practice achieves its long-term strategic objectives in a safe and effective working environment, while maintaining and managing a motivated and committed team.

The practice manager will lead the team in ensuring promotion and delivery of:

About us

White Medical Group is a dispensing practice with a patient list size of over 8000 across our main site in Ponteland and branch site in Wylam.We are a teaching practice for medical students and are high achievingwith consistently good QoF attainment.

Our clinical team consists of 5 GP partners and 2 Salaried GPs, supported by 4 experienced Practice Nurses and health care assistants.We are further supported by various PCN additional roles including paramedics, mental health practitioners, pharmacists, first contact physios and care coordinators. We also have an extensive administrative, reception and dispensing team working toassist the clinical team.

PRIMARY RESPONSIBILITIES

The following are the core responsibilities of the Practice Manager.This is not an exhaustive list of responsibilities and may be subject to change depending on the needs of the organisation and staffing levels within the practice.

The practice manager is responsible for (Main site and branch site):

a. Overseeing the day-to-day operations of the practice, ensuring staff achieve their primary responsibilities

b. Functional management of all clinical and administrative staff

c. The safe induction of all new members to the team, including locums and learners.

d. Direct line management of staff.

e. Managing the recruitment process for the practice; establishing, reviewing and regularly updating job descriptions and person specifications.

f. Managing contracts for services as required

g. Ensuring that all relevant checking schedules are in place and adhered to.

h. Coordinating the updating of all practice policies and procedures, ensuring that they are kept up to date and are responsive to need.

i. Coordinating and leading the compilation of practice reports.

j. Developing/maintaining an efficient business continuity plan.

k. Managing and coordinating all aspects of practice finances, optimising efficiency and financial performance, ensuring the practice achieves its long-term strategic objectives.

l. Managing the payroll and pension systems as required

m. Overseeing the management of the dispensary

n. Ensuring compliance and completion of the DSQS alongside the dispensary manager

o. Ensuring completion of required VAT returns

p. Overseeing the team in reaching its QOF targets and PCN contractual requirements.

q. Coordinating the practice diary, ensuring Partner meetings are scheduled appropriately

r. Liaising at external meetings as required including representing at ICB/locality/PCN/practice manager meetings this may include travel to meetings

s. Marketing the practice appropriately

t. Overseeing patient participation activities

u. Overseeing the maintenance of the practice and NHS choices websites and social media presence.

v. Managing all complaints effectively

w. Ensuring compliance with legislation and deal with disciplinary issues accordingly

x. Managing the premises, including health and safety aspects such as risk assessments and mandatory training

y. Overseeing the practice significant event processes.

x. Ensuring compliance with all legal/mandatory legislation such as CQC/DSP toolkit

aa. Managing the practice IT system, delegating staff to act as administrators.

bb. Coordinating any works projects within the practice

cc.Ensuring all staff have the appropriate level of training to enable them to carry out their individual roles and responsibilities effectively

SECONDARY RESPONSIBILITIES

In addition to the primary responsibilities, the practice manager may be requested to:

a. Deputise for the partners at internal and external meetings

b. Act as the primary point of contact for NHS(E), ICB, PCN, community services, suppliers and other external stakeholders

c. Partake in/support audit, as requested by the audit lead

d. Travel to the branch site at Wylam, attend evening meetings on occasions for Partners Meetings, and travel to other venues for External Meetings as required.
