Willows Health are now offering an exciting opportunity for a Practice Manager to join their friendly, high-achieving and forward-thinking team at one of our surgeries, DMU Surgery, Leicester. The successful candidate will be part of a positive and proactive management team. They will receive support from and work closely with, our Head of Operations, the HR team, the Finance team and our own in-house Digital team in addition to the wider multi-disciplinary staff group which forms the Willows Health family.

Main duties of the job

Responsible for quality standards and practice performance

Manage data quality issues

Offer day to day management support, supervision, and guidance to onsite staff

Ensure administrative and clerical duties are in accordance with Practice guidelines and policies.

Co-ordinate effective rota management

Build and facilitate good team-working (on-site and cross-site)

Job description

Job responsibilities

  • Ensuring clinical & non-clinical rotas are covered and aligning them to ascertain optimum and high-quality medical student, physician associate and registrar supervision.
  • Ensure every Doctor session has a fixed number of pathology items assigned and to follow the practice escalation policy with respect to appropriate pathology management.
  • To run pathology management SystmOne Searches to ensure pathology is processed at the periods specified as above.
  • Make sure letters are coded, summarised and delegated according to training. To ensure letters are processed in a timely way, never waiting more than 5 days to be processed.
  • To verify tasks are processed by the appropriate member of staff in a timely way.
  • To ensure practice-based governance metrics are completed, assured and delegated if required. These include:

  1. Infection control
  2. Safeguarding
  3. Premises based compliance including but exhaustive to include fire safety/checks/audit, electrical safety/check/audit, legionella testing, water testing
  4. Emergency equipment and emergency drugs overview and assurance process
  5. Cold chain process overview

  • Oversee monthly distribution of clinical meetings.
  • To be aware of safeguarding workflow and processes within the organisation.
  • Familiarise yourselves and enact all HR policies and procedures.
  • Manage a diary for on an annual basis to ensure all staff appraisals have taken place diarise this and include the HR manager who can assist in the appraisal process.
  • Take charge of sickness management, absence requests, and performance management processes are in align with group protocol.
  • Ensure all rooms are appropriately stocked with in date clinical equipment
  • Abide by the framework for data governance, complete audits as required, and ensure practice is consistent with GPDR regulations
  • You will be the first port of contact for patient complains. The aim is to de-escalate them early without formalising them
