Job summary

Community Health Centre is an inner-city practice predominantly serving the community of Highfields, with over 13,500 patients.

We are looking for individuals to join in a receptionist/admin role in our dynamic and expanding surgery to support the delivery of an effective service to the community. Previous knowledge of GP Practice is desirable however for the right candidate training will be provided. The ideal candidate will be able to demonstrate excellent communication skills, possess good administrative and organisational and IT knowledge.and be able to work under pressure

Hours of work will cover between 08.00-18.30 Monday to Friday

Main duties of the job

  • To provide an efficient Reception Service, dealing with patients, visitors and enquiries .
  • To receive calls, allocate appointments, take and record messages
  • To provide cover for other staff during illnesses and holidays
  • To be responsible for the retrieving and filing of medical records, letters and computer printouts.
  • To be involved with the inputting of data on to the computer system and to undertake word-processing duties such as typing of correspondence as required.
  • To contribute to the appropriate communication between all reception staff, i.e. leave messages/handover notes for the evening or morning staff when required.
  • To use the computer system in allocating appointments registering new patients, referals, choose and book, two week waits, general correspondance and call and recall of patients.
  • This job description may be reviewed in the light of changing service needs and developments. Any changes will be fully discussed with the post holder. The post holder may be required to carry out other duties commensurate with the grade of the post.

4 Partners, Nursing team including Practice Nurses and Health Care Assistants, General Practitioners and Physicain Associates. Admin Team covering from 8am-6.30pm.

Job responsibilities

MAIN DUTIES AND RESPONSIBILITIES

Using SystmOne and Microsoft Office applications

Providing the first point of contact for patients both face to face and by telephone, recognising an emergency situation / alternative method of communication if required

Answering telephone calls

Triaging patients for same day appointments and signposting to appropriate clinician / service

Booking/ cancelling / rearranging patient appointments and dealing with patient queries

Message taking for all members of the surgery healthcare team Opening and sorting the daily post

Chaperoning for clinicians when required

Preparing patient repeat prescription requests and issuing of signed prescriptions

Receive/ Action electronic patient tasks

Processing electronic patient referrals to secondary care and other providers via the e-referral service

Communicating with patients as required ensuring confidentiality is maintained at all times

Photocopying, filing & scanning

Ensure accurate completion of patient registration documents

Performing any other administrative duties as required

Ensuring that colleagues are aware of unresolved urgent matters

Attend any required surgery meetings / training and e-learning

Maintain a tidy reception area and waiting area

Providing holiday and sickness cover for colleagues
