Job summary

You must be organised, enthusiastic, quick thinking, skilled multi-tasker, a team player, empathetic towards patients, able to work alone using your own initiative and computer literate ideally with experience in EMIS Web and DOCMAN.

This role is wide and varied as you will be required to work in reception and dispensary.

We have two vacancies for Receptionist/Dispensers, Pervious experience and NVQ 2 or equivalent preferred although full training will be given to the right candidate.

Flexibility is crucial as you will be required to cover sickness and holidays.

Two part-time vacancies, 15.5 hours and 21.5 hours.

Main duties of the job

The role is wide and varied as you will be working in reception and in the dispensary

The following list serves to illustrate the scope and responsibilities of the post and is not intended to be an exhaustive list of duties. You will be expected to perform different tasks as necessitated by the development of this role as the practice develops, and the overall business objectives of the practice change.

Reception Duties -Dealing with patients over the telephone and face to face, booking appointments, processing prescriptions, data entry, monitoring the practice appointment system, process incoming and outgoing post, checking referrals via the electronic referral service, action GP2GP tasks, scanning and filling of clinical letters, registering patients

Our patient list size is currently 4500, our team consists of 2 GP Partners, 2 Part-time nurses, 1 healthcare assistant, 4 receptionist/dispensers, 1 practice manager 1 admin clerk, 1 apprentice

Job description

Job responsibilities

The following are the core responsibilities of the Dispenser. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:

a. To be responsible for checking all medicines dispensed, ensuring there are no discrepancies

b. Dispensing medicines to the entitled population safely and accurately

c. Collecting prescription charges in accordance with dispensary protocol

d. Maintaining stock levels within the dispensary, liaising with the dispensary manager to facilitate reordering

e. Receiving and storing supplies in accordance with current policy, ensuring the cold chain is maintained where applicable

f. Ensuring controlled drugs are dispensed with in accordance with practice policy

g. Safe disposal of returned and / or out of date medicines

h. Ensuring all repeat prescriptions are processed within a 48-hour timeframe

i. Providing patients with advice regarding all prescription matters

j. Process prescription requests via email, phone, fax, face-to-face and online

k. Processing Dossett boxes

l. Monthly returns

m. Maintaining a clean and safe working environment at all times

n. Maintain accurate records at all times, read coding entries appropriately

Secondary Responsibilities

In addition to the primary responsibilities, the dispenser may be requested to:

a. Partake in audit as directed by the audit lead

b. Provide guidance for trainee dispensary staff and students as necessary

c. Remain current with the latest guidance ensuring the dispensary conforms to NICE, CQC etc guidance

The following are the core responsibilities of the receptionist/administrator. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:

a. Maintaining and monitoring the practice appointment system

b. Process personal, telephone and e-requests for appointments

c. Answer incoming phone calls, transferring calls or dealing with the callers request appropriately

d. Action incoming emails

e. Signpost patients to the correct service

f. Process incoming and outgoing mail

g. Initiating contact with and responding to, requests from patients, team members and external agencies

h. Dealing with repeat prescriptions ensuring the are processed accurately and efficiently

i. Checking referrals have been action via the electronic referral service (ERS)

j. Process calling letters are requested

k. Process all DNA letters in accordance with current policy

l. Action GP2GP tasks

m. Read code data onto the Clinical System

n. Photocopy documentation as required

o. File and store records as required

p. Data entry of new and temporary registrations and relevant patient information as required

q. Input data into the patients healthcare records as necessary

r. Scanning of patient related documentation and attaching scanned documents to patients healthcare records

s. Process requests for information i.e. SAR, insurance / solicitors letters and DVLA forms to the administrative team

t. Manage all queries (including administrative queries) as necessary in an efficient manner

u. Carry out system searches as requested

v. Maintain a clean, tidy, effective working area at all times

w. Monitor and maintain the reception area and notice boards

x. Support all clinical staff with general tasks as requested

Secondary Responsibilities

In addition to the primary responsibilities, may be requested to:

c. Providing additional cover during staff absences

d. Complete opening and closing procedures
