Job summary

This is an opportunity to join a multi-skilled reception team working in a fast paced friendly environment, ensuring our patients are directed to the most appropriate professional for their needs.

These roles will be subject to DBS vetting.

Main duties of the job

As a valued team member you will actively support the Doctors and the Practice by answering the telephone, dealing with patient queries and booking patient appointments. In addition to the normal Reception duties you will also provide administrative support to ensure the smooth and effective running of the Practice.

These roles require well-presented individuals with a calm, methodical approach to work, the ability to deal empathically and professionally with the general public and a working knowledge of EMIS web is essential and previous experience working in Primary or secondary care is preferred. Successful applicants will be receptive to change, with excellent communication skills and have a can-do approach to work. This is an evolving role due to the integration.

Job description

Job responsibilities

Main purpose of job:

To provide reception and administrative support to the doctors working in the practice.

Responsible to

Practice Manager and/or Senior Receptionist

Training:

Training will be provided in house and external training. Protected Learning Time afternoons must be attended.

Key tasks and responsibilities

Security of the building: unlocking and locking the building at the beginning and end of each day when appropriate to hours worked.

Answering the telephone: dealing with patient queries and making appropriate appointments, within the parameters of the requirements of the surgery. This will include answering the telephone within a prescribed time.

Face to face dealings with patients at the front desk which will include queries, making appointments and assisting patients where appropriate

Taking messages eg: patient requests for telephone calls and visits, taking action where appropriate using the internal emailing system and any other existing systems

Appointments/Surgeries: maintenance of the existing appointments system to include arranging future surgeries

Repeat Prescribing: Provide administrative assistance to the dispensary at times of pressure in generating repeat prescriptions when required

Filing: All filing should be cleared before the end of each session; withdrawing notes from system as requested by Clinicians, Practice Manager or Registration Clerk

Workstation and Waiting room: it is essential that the Reception area and Waiting room are kept tidy and both should be tidied at the end of each session

Handover at the end of each session: ensure and recording unfinished/awaited information, details etc. are provided to staff taking over the next session.

Immunisation clinic: chaperoning and recording immunisations with Practice Nurse

Chaperoning: you may be requested to chaperone either GPs or Practice Nurses

Flu clinics: record and generate appropriate information and prescriptions during the flu clinic season (Autumn)

Results: giving out results to patients in conjunction with the practice guidance available.

Scanning documents

Ensuring that records are neat, tidy and in good repair.

Opening and sorting incoming post

Making drinks in a rota with other members of the team. However, it is recommended that each individual makes their own drinks.

Any other clerical tasks that may be necessary from time to time as required by the Practice Manager.

Computers: Be able to housekeep computing issues together with knowledge of medical software

Payments: processing payments received at the counter from patients using the till and appropriate technology provided.

Registration: be able to process registrations in accordance with the Practice protocol for both full residents and temporary residents.

Providing cover during sickness and holiday absences of members of the reception team.
