Job summary

This vacancy is for a full-time receptionist/administrator within the Vallance Brunswick Group practice run by Drs Ngan, Dr Wilkinson, Dr Chiu, Dr Koh, Dr Gan & Dr Gu.

The post is to be part of a busy friendly administration team who provide reception, administration and secretarial services to the clinical team and our patients.

Main duties of the job

We are looking for a motivated and enthusiastic team player to join our team.

The purpose of the role is to:

Offer general assistance to the Practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone

Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way

Undertake a variety of administrative duties to assist in the smooth running of the Practice including the provision of clerical support to clinical staff and other members of the Practice team

Facilitate effective communication between patients, members the primary health care team, secondary care and other associated healthcare agencies

IT Skills are essential.

Experience using EMIS, Docman and Mjog is desirable, but full training will be provided.

About us

You will be working for a friendly hardworking team for Drs Chiu, Koh and Gan.

Within the 37.5 hours for this post you will be required to work a rota basis between 8.30am until 4.30pm and one-two lates of 10.30am and finishing at 6.30pm.

Salary is dependent on experience (meets min wage requirements) and successful completion of probationary period

Annual leave is a generous 25 days plus 8 Bank Holidays.

The Vallance Centre is a purpose built health centre in Ardwick, Manchester. The Centre is approximately 10 minutes walk from Piccadilly Railway/Tram station and it is also on several bus routes.

Parking is also provided for staff.

The Centre houses three group practices and associated healthcare services with a pharmacy on site.

The Vallance Brunswick Group is run by Dr Ngan, Dr Wilkinson, Dr Chiu, Dr Koh, Dr Gan & Dr Gu and share over 12,000 patients.

The surgery is open from 8.00am Monday to Friday and closes at 6.30pm.

Duties and Responsibilities:

The duties and responsibilities to be undertaken by members of the Practice administration team may include any or all of the items in the following list. Duties may be varied from time to time under the direction of the Managers, dependent on current and evolving Practice workload and staffing levels:

  • Maintaining and monitoring the Practice appointments system
  • Processing personal and telephone requests for appointments, visits and telephone consultations and ensuring callers are directed to the appropriate healthcare professional
  • Processing and distributing incoming (and outgoing) mail
  • Taking messages and passing on information
  • Filing and retrieving paperwork
  • Processing repeat prescriptions in accordance with Practice guidelines
  • Computer data entry/data allocation and collation; processing and recording information in accordance with Practice procedures
  • Initiating contact with and responding to requests from patients, other team member and associated healthcare agencies and providers
  • Providing clerical assistance to Practice staff as required from time to time, including word/data processing, filing, photocopying and scanning
