Job summary

Chapel Street Medical Centre is a busy Practice looking to recruit a friendly, hardworking and enthusiastic part-time medical secretary to join our existing Medical Secretary Team. Experience of secretarial work within a GP Practice or other NHS setting is preferred, but training will be given.

Main duties of the job

To provide an efficient audio, copy typing and word processing service for GPs as required. This includes the typing of letters, reports, patient referrals, in an accurate manner.

Checking Lexacom daily for dictations

Checking Task list for new referrals and those awaiting results or reports

Checking workflow and processing incoming letters

Checking eRS worklist for rejections and redirections and deal with all related queries from patients and hospitals.

All patient correspondence to hospitals must contain their NHS number.

To receive incoming and initiate outgoing telephone calls to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries.

Maintain confidentiality at all times

Be adaptable, amiable and willing to take on new tasks

Willing to provide overtime cover for holiday and sickness if required

We are a democratic 5 Partner team supported by dedicated teams of Salaried GPs, MHP, Nurses, HCA, ARRS Staff, Administration and Reception Staff.

Job description

Job responsibilities

The following are the core responsibilities of the medical secretary. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:

Typing letters, reports, referrals and associated documentation as required

Liaising with external agencies and patients, such as hospitals and community services, ensuring referrals are processed efficiently

Manage enquires in an effective manner

Action incoming email

Scanning of patient related documentation and attaching scanned documents to patients healthcare records as required

Input data into the patients healthcare records as necessary

Process referrals using the electronic referral system (ERS)

Answer incoming phone calls, transferring calls or dealing with the callers request appropriately

Manage administrative queries as necessary

Maintain a clean, tidy, effective working area at all times

Support all clinical staff with general administrative tasks as requested

In addition to the primary responsibilities, the medical secretary may be requested to:

Partake in audit as directed by the audit lead

Support the secretarial team, providing cover during staff absences in respect of sickness or annual leave.

Perform any other tasks requested by the Partners and Management team
