Burlington Primary Care are looking to recruit a full-time Medical Secretary, working in our secretarial department working with our clinical team to provide excellent patient care.
Main duties of the job
To provide efficient secretarial service for the
clinical team, involving typing of letters, reports, patient referrals in an
accurate, timely and quality manner.
To act as the link between clinicians and clinical correspondence
in the Practice; Scanning, Coding and Matching externally received documentation
at point of source using SystmOne
To schedule, compile and record patient information relevant to
medical consultations with healthcare clinicians and associated medical
correspondence.
To provide and maintain a high standard of patient communication
via telephone, letter and SMS, delivered with a customer focus to the practice
population, adopting a professional and cordial manner at all times
To facilitate and help manage requests for Access to health records

You will be part of our multi-discipline team which consists
of GP partners, salaried GPs, trainee GPs, advanced clinical practitioners,
practice nurses, emergency care practitioners, health care assistants,
pharmacists, admin assistants, care navigators, care co-ordinators, wellbeing
coach and management teams.

Job responsibilities
To
provide an efficient, typing and word processing service for the clinicians and other Health Professionals as required. This includes the typing of letters, reports,
patient referrals etc. accurately and to a high standard
To
be fully trained in the use of the e-referral appointments system, making
appointments as well as being able to use and monitor the system on behalf of
the Practice.
To
deal with all GPs incoming work attracting a private fee e.g. insurance report
requests and medicals, including the photocopying/printing off of patient
records and the typing up of reports etc. as required.
To
establish and maintain filing and administrative systems so that written or
computer information is easily accessible and secure
To
provide a high standard of patient communication, delivered with customer focus
to practice population, adopting a professional and cordial manner at all times
To
retrieve medical records and process requests for copies of medical records in
accordance with the Protocol
Facilitate
referrals to the appropriate departments of secondary care and other
organisations as required.
Code,
scan and match documents onto SystmOne as they come into the surgery on a daily
basis.
Systematically administer and process
document workflow in line with Practice policies and procedures, ensuring that
requests are accurately recorded in a timely manner and in accordance with
agreed Practice protocols
Action Tasks from clinicians and use the
re-scheduling system to chase and follow-up requests in a consistent and
uniformed manner
Answer telephone calls and deal with
(ad-hoc) face to face enquiries from patients about their healthcare needs.
Produce
and submit invoices when required, adding the entry on the accounts
spreadsheet. Check the accounts
spreadsheet on a regular basis to ensure payment has been made and chase as
necessary
Maintain
a spreadsheet for urgent and 2 week wait referrals and check on a regular basis
to ensure that patient has been seen by the Hospital within the required
timescale.
Receive
incoming and initiate outgoing telephone calls in order to facilitate timely
and appropriate communications with others, taking messages and dealing with
appropriate queries
Use
of AccuRX to communicate with patients.
To
provide cover for members of the Team during periods of sickness
and annual leave
Undertake
additional duties that may reasonably be expected by the GPs or Practice
Manager
Proficient
use of SystmOne, DXS and other related software
Use
and understand medical terminology
Maintain
a spreadsheet for 24hour ECGs, configure tapes, download and liaise with the
provider
