Job summary

We are looking for a receptionist to join our busy GP surgery.

The position is part time but overtime required to cover annual leave or sickness leave.

Experience is preferred but training given.

Main duties of the job

To be responsible for undertaking a wide range of reception duties and the provision of general support to the multidisciplinary team. Duties can include but are not limited to, greeting and directing patients, effective use of the appointment system, booking appointments, processing of information (electronic and hard copy), assisting patients, patient registration as required and processing of repeat prescriptions in electronic and hard copy format, including online requests. To act as the central point of contact for patients, the distribution of information, messages and enquiries for the clinical team, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers.

Job description

Job responsibilities

The following are the core responsibilities of the receptionist. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:

a. Maintaining and monitoring the practice appointment system

b. Process personal, telephone and e-requests for appointments

c. Answer incoming phone calls, transferring calls or dealing with the callers request appropriately

d. Signpost patients to the correct service

e. Initiating contact with and responding to, requests from patients, team members and external agencies

f. Processing of incoming and outgoing mail

g. File and store records as required

h. Process and distribute incoming faxes

i. Process changes to patient registration, deduction of record and new patient registration

j. Process repeat prescription requests by email, fax, post slips and online access system, in accordance with practice protocol

k. Produce prescriptions for the GP to sign in an acceptable time frame.

l. Ensure all prescription requests are processed are ready for collection within a 48-hour timeframe

m. Actively encourage patients to reconcile medications to facilitate monthly collections.

n. Read code data on EMIS Web.

o. Photocopy documentation as required

p. Data entry of new and temporary registrations and relevant patient information as required

q. Input data into the patients healthcare records as necessary

r. Direct requests for information i.e. SAR, insurance / solicitors letters and DVLA forms to the administrative team

s. Manage all queries as necessary in an efficient manner

t. Carry out system searches as requested

u. Maintain a clean, tidy, effective working area at all times

v. Monitor and maintain the reception area and notice boards

w. Support all clinical staff with general tasks as requested

x. Welcome patients and visitors to the practice, directing requests appropriately
