Job summary
We are seeking a dedicated and organised Medical Secretary to join our healthcare team for between 30-37.5 hours a week (to be agreed), for five days Monday to Friday. Please note that if we find the right candidate we may close the advertisement early.
Main duties of the job
The ideal candidate will play a crucial role in helping to ensure the smooth operation of our medical practice by providing secretarial and administrative support to GPs and other healthcare professionals as required, and to liaise with hospitals and other services in ensuring timely clinical referrals for our patients. As well as excellent communication skills and telephone manner, attention to detail and the strictest adherence to confidentiality are vital.
About us
Didcot Health Centre is a well-established practice of 19,500 patients, and we have been a successful GP training practice for many years. We operate from spacious, purpose-built premises on a single site close to the centre of town and just a few minutes' walk from Didcot Parkway station.
We have a wide clinical team comprising 12 GPs, a Diabetes Specialist Nurse, two Advanced Paramedic Practitioners, eight Practice Nurses and Healthcare Assistants, and various other clinical staff shared with our neighbouring practices in Didcot, with whom we work closely.
Our clinical staff are well-supported by a large, committed team of 25 administrative staff.

The Medical Secretary is are required to:
- Provide an efficient audio typing and word processing service for GPs and other healthcare professionals as required
- Refer patients to secondary care services via the NHS eReferral system, and to resolve problems or issues relating to referrals on the eReferral work lists
- Keep GPs informed of new services/changes to services on Choose and Book, and any changes to referrals
- Make appointments for patients on the NHS two-week wait referral pathway, liaising with patients regarding their booking
- Assist patients regarding queries in relation to existing referrals and hospital appointments
- Process patient and third-party requests for copies of medical records, including photocopying of patient notes, in line with strict practice protocols and the GDPR
- File patient records and correspondence in patient medical records using Docman
- Manage all incoming emails to the secretary email account
- Create invoices for chargeable services
- Receive incoming and initiate outgoing telephone calls from patients and third parties regarding all aspects of secretarial duties
- Complete tasks sent by clinical colleagues in a timely manner
- Any other delegated duties considered appropriate to the post
- Carry out all tasks in line with practice protocols, data protection regulations, and NHS and guidelines.
