Job summary

Ashfields is a large, successful GP practice committed to quality, innovation, and are forward thinking in our delivery of care. We are the only GP practice in Sandbach providing a fully integrated primary care service. We are looking for a Medical Secretary to join our team of administrators.

Main duties of the job

The successful applicant will have a high level of customer service skills, be patient focussed and a team player. Also be able to demonstrate good inter-personal and organisational skills, have the ability to prioritise a busy workload and work well under pressure. Excellent IT skills are essential, with EMIS experience preferred.

About us

Ashfields Primary Care Centre provides care to 28,500 patients. We have a dedicated team of secretaries who support our clinicians and our patients with referrals and insurance reports. The team is made up of 1 Team Lead and 5 secretaries.

Job description

Job responsibilities

The following are the core responsibilities of the medical secretary. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:

a. Produce high quality documents within the necessary timescales and practice guidelines.

b. Create reports, audits and referral data.

c. Deal with insurance and medical reports within specified guidelines, and liaising with outside organisations and patients appropriately.

d. Communicate verbally with patients, other agencies, other members of the Primary and Secondary Healthcare Teams, and practice staff, receiving and relaying messages in a courteous and efficient manner, deciding upon the appropriate course of action.

e. Maintain up to date skills and knowledge, and an awareness of patient-led service issues.

f. Plan and prioritise office workload, take appropriate steps to manage incoming and outgoing requests according to agreed timescales and deadlines.

g. To be responsible for safeguarding the confidentiality of all information to which the post holder has access.

h. Maintain an efficient and up to date filing system, manual and computerised.

i. Develop and maintain systems and processes which facilitate effective communication and confidentiality of information.

j. To liaise with colleagues to ensure that adequate service provision is maintained at all times and provide relief cover as and when required.

k. Perform any other duties that may be necessary for the efficient running of the practice and comply with reasonable requests to carry out extra duties in unforeseen circumstances.

l. Listening to dictated referrals and completing medical referral letters on behalf of clinicians.
