Patient Services Administrator

We are seeking a enthusiastic Patient Services Administrator for 37 hours per week to work across our two sites in Taunton (Blackbrook Surgery and Victoria Gate Surgery). Flexibility is essential to cover shift patterns across our opening hours, which are 8.00 am to 6.30 pm Monday to Friday plus Saturday morning shifts on a rota where required. This is a full time post, but part time hours are available.

Main duties of the job

To be the main point of contact for patients, both via telephone, online and face-to-face. It will be the successful candidates job to direct patients to the most appropriate care and manage patient queries in a positive and helpful way.

The successful candidate will be responsible for answering telephones, opening and closing the premises where required, be efficient in filing, record keeping and message taking and ensure strict confidentiality is adhered to when handling patient information.

The successful candidate should also be prepared to undertake regular training and development as necessary and attend and participate in regular team development meetings (to include Full Team Meetings and Administration meetings).

About us

Taunton Vale Healthcare comprises of a GP practice based in two locations, both in the east of Taunton. We are a busy practice with a list size of over 13,000 patients and we operate from two purpose built premises.

Job responsibilities

Duties/Responsibilities:

  • To ensure courteous, efficient and confidential handling of patients enquiries and requests, principally on the telephone but also face to face;
  • Efficient and prompt filing, record keeping, message taking and distribution of documents;
  • Be flexible in working hours to allow smooth functioning of surgery at times of illness/holidays etc.
  • Opening/closing of premises where appropriate, including setting the alarm;
  • Processing mail (both electronic and paper);
  • Input of accurate data onto clinical computer system and coding of patient correspondence where necessary, including scanning, appointments, registrations;
  • Receiving and directing patients;
  • Taking patient requests for appointments, visits, repeat prescriptions, test results, messages etc;
  • Welcoming new patients, explaining practice procedures, completing necessary paperwork and associated data input on the computer;
  • Taking and recording of messages for members of the Primary Health Care Team;
  • Be prepared to undertake training as necessary;
  • Be prepared to attend and participate in regular team meetings (to include Full Team Meetings and Administration meetings);
  • Ensure smooth handover of staff and any relevant messages;
  • To keep surgery tidy, in particular the office, reception area and Waiting Room;
  • You will report to the Office Manager
