Practice Manager - Parkside Family Practice
Position: Full time Permanent
Hours of work: Full time hours
Parkside Practice is a modern general practice of 17,000 patients being served from 2 sites in Woodley and Earley. We have 3 Partners along with a will established team of clinical and administrative staff. We area training practice supporting regular trainee placements. We have strong links to our Primary Care Network, LMC and our PPG groups.
We are looking for a Practice Manager with excellent interpersonal and leadership skills, who is team focused, compassionate and will foster excellent team working and share our values and ethos.
The successful candidate will be able to demonstrate clear leadership and operational management skills including strategic planning and a high-level of finance experience. They must be proactive and well organised, possess a passion for delivering a high standard of patient care and be self-motivated and disciplined with the ability to take ownership of whatever circumstances may arise during the daily running of the Practice.
Objectives/Main duties
Strategic Development
Promote the expansion of service provision and the development of new initiatives to address current and changing needs.
Actively seek development opportunities
Ensure that contractual key performance indicators are achieved.
Ensure all data requirements are met, and the effective performance management arrangements are in place.
Provide performance reports to the partnership and proactively manage mitigation plans.
Operational Delivery
Over see all the financial day to day aspect of the working supporting the Finance Manager.
Ensure that services are developed and in accordance with the national guidance such as produced by nice keeping abreast of quality assurance and changes in legislation requirements.
Ensure that services run efficiently and effectively and offer highest quality of appropriate care for patients consistent with available resources.
Ensure that services are promoted and marketed effectively.
Ensure CQC registration is up to date and requirements maintained.
Convene meetings prepare agendas and ensure distribution of minutes as necessary.
Develop protocols and procedures reviewing and updating as required.
Ensure services premises are properly maintained and cleaned and the adequate fire prevention and security systems are in place.
Team Management
Provide line management and leadership to achieve contract two obligations.
Oversee the management of all staff.
Ensure that individual performance targets are set for staff progress is monitored and improvement plans implemented when required.
Ensure the safety of all staff by implementing risk assessments and monitoring health and safety procedures across the service.
Oversee the recruitment and retention of staff ensuring legislation and qualification requirements are met in the Asian with HR admin and show all members of staff are legally and gainfully employed ensuring accurate records are including leave training data appraisals and up-to-date job descriptions are maintained.
Evaluate organising overseas staff induction and training ensuring that all staff are trained to fulfil their roles.
Ensure staff complete mandatory training.
Support a mentor staff both as individuals and as team members.
Keep up to date with changes in employment legislation.
Communication and Engagement
Develop an effective communication strategy to include both internal and external stakeholders.
Adapt communication stars as appropriate ensuring that constructive positive and supportive relationships are maintained with all internal and external stakeholders ensure appropriate schedules of meetings and newsletters to communicate and consult with staff and patients and other stakeholders represent the practise and engage with:
The Primary Care Network
The Integrated Care Board
External organisations such as Local Medical Council
Oversee patient engagement and the participation group and patient leaflets website etc.
Patient Services
Oversee and develop an effective appointment system.
Oversee team timetables rotas and holiday cover to ensure adequate cover.
Develop and maintain effective patient feedback systems and share learning.
Develop and maintain an effective significant event reporting system and share learning.
Ensure that data security and Information Governance toolkit is completed annually, and its requirements adhered to.
NON GMS Services
Ensure involvement and appropriate procurement opportunities.
Complete necessary documentation for bid opportunities
Negotiate contract changes ensuring that they remain in favour of the practice capability to deliver both financially and operationally.
Oversee reporting requirements.
Ensure the practice population can access services appropriate to their needs through service development.
Person Specification
Essential
Educated to degree level of education, Business Management or financial qualification.
Experience of Management and Leadership skills & the ability to work under pressure.
Evidence of continuing professional development
Problem solving skills
Proven history of working on a variety of IT systems Including Microsoft Packages
A Full Clean Driving License
Desirable
Experience of strategic business planning
Experience of working in the NHS
Experience of working in the General Practice
