Experienced GP Reception Operations Lead

Job summary

We are looking for a reliable and committed individual to join our team who is enthusiastic, able to establish priorities and work independently. They must be comfortable with multitasking and provide great support to a busy practice team. Overseeing the reception team and specific aspects of the operation - the applicant will need to be able to work accurately and at pace and complete all tasks in a timely manner.

Main duties of the job

Responsibilities

  • Direct supervision of the reception team, including workload, recruitment, training attendance monitoring and audits.
  • Ensuring the clinical session structure is effective, meets the needs of the patients and clinicians have access to suitable rooms
  • Coordinate with staff to ensure efficient and effective communication
  • Assign, monitor and manage practice workflow (clinical and administration), assessing daily demand and capacity.
  • Responding and resolving all IT issues where appropriate
  • Involvement in recall systems linked to QOF/LES/DES & Vaccination programmes.
  • Implement practice processes, polices and procedures and ensure compliance.
  • To monitor, evaluate and ensure all mandatory training completed.
  • Support the GP Partners and Practice Manager in the compilation of practice searches and reports.
  • Work closely with the Partners and Management when needed to ensure standards are met.
  • Own administration tasks including new patient registrations/deductions, read-coding, workflow (list is not exhaustive)

  • Duties and Responsibilities:

  • Dealing with enquiries and requests from patients and visitors, face to face, on the telephone and through e mail and other electronic media.

  • Registering new patients and updating patients' details using the computer system.

  • Assist in the production of procedure notes and guidance information.

  • Providing general clerical and administrative support to doctors, nurses and practice manager as required.

  • Ensure communication systems are running smoothly, doctors and reception staff are kept fully informed of changes in procedures.

  • Monitor Patch's, SystemOne and other IT systems to ensure efficiencies.

  • Monitor clinics and convert any unused appointments.

  • Co-ordinate GP rotas and clinical room usage for Clinical staff, Trainee GPs/Medical Students and other staff members.
