Management Team Administrator-Finance

Job summary

To support the Practice Manager in the management and coordination of all aspects of organisation finances, optimising efficiency and financial performance, information technology assistance including social media and website management ensuring the organisation achieves its long-term strategic objectives.

Main duties of the job

  • Supporting the Practice Manager in day-to-day operations of the practice
  • Review all income and expenditure statements, identifying any inaccuracies and rectifying
  • Ensure invoices are paid within time frame
  • Maintain an effective system for handling petty cash
  • Ensuring appropriate ledger coding for income and expenditure
  • Present financial forecasts to partners as and when required
  • Monitor performance against all contracts including Quality Outcomes Framework, Community Based Services, federation workstreams
  • Responsibility for ordering all practice supplies
  • Ensure all premises related queries are logged and actioned
  • Liaise with external contractors in obtaining quotes and maintaining contracts accordingly
  • Partake in audit as requested by the audit lead
  • Attend and actively participate in practice management meetings
  • Attend any external meetings pertinent to role
  • Coordinating the reviewing and updating of all practice policies and procedures
  • First line management and resolution of IT queries before signposting to Leicestershire Health Informatics Services
  • Maintaining the Surgery website, to update with the latest information relevant to patients and the general public
  • Production of a monthly/quarterly newsletter for patients
  • Effective monitoring of the Friends and Families Test
  • Recording minutes from practice meetings
  • Carrying out administrative tasks as delegated by the Practice Manager
