Main duties of the job

Duties and responsibilities: These may include some or all of the items listed. Duties may be varied from time to time dependent on evolving practices and staffing levels: Reception of patients and dealing with all patient enquiries in person and by telephone Maintaining and monitoring the practice appointments system Processing personal & telephone requests for appointments, visits and telephone consultations Administrative duties including data entry, processing and recording information. Patient registrations Processing incoming communications

About us

We are a large GMS practice in Central Uxbridge with 16,700 patients. We have 7 partners and 2 salaried GPs. 6 nurses, 1 pharmacist and 2 HCAs. The reception and admin function currently has 17 staff in a very busy surgery. We are part of the Synergy PCN delivering services to a large part of Uxbridge.

REPORTS TOPractice Manager JOB SUMMARY The purpose of the role is to perform a range of administrative and office support activities: Offer general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone Receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way Undertake a variety of administrative duties to assist in the smooth running of the practice including the provision of secretarial and clerical support to clinical staff and other members of the practice team Facilitate effective communication between patients, members of the CCG (Clinical Commissioning Group), secondary care and other associated healthcare agencies MAIN TASKS AND RESPONSIBILITIES: Reception To make appointments and resolve enquiries either in person in reception or on the telephone, ensuring patients are directed to the appropriate healthcare professional Maintaining and monitoring the practice appointments system Keeping the reception area, notice-boards and leaflet dispensers tidy and free from obstructions and clutter Book GP home visit requests Contact patients by telephone at GP request Arrange for District Nurses to visit patients at GP request Admin Computer data entry/data allocation and collation; processing and recording information in accordance with practice procedures Ensure that new patient registration forms are correctly completed and that all ID and information required is present and correct. Registration of new patients on clinical system Updating patient details on the clinical system Chase up test results Booking ambulances or emergency blue light Admin tasks as directed by management. Processing repeat prescriptions in accordance with practice guidelines Correspondence Processing the post. Check emails and action/forward as necessary Provide cover for other members of staff taking holidays or sick leave, which will include various ad-hoc administrative duties e.g. scanning, indexing, reception, etc Optional Other Duties Full training will be provided: Online correspondence and workflow Summarising of new patient notes
