Job summary

We are looking for an enthusiastic, highly motivated individual who is able to work as part of a team and be flexible. The ideal candidate will be positive and friendly with excellent customer service skills. The role requires you to provide customer service face to face.

You will need to work well within the team, and be able to use your own initiative.

This role is for Saturdays and Sundays 9.5 hours per week working alternate shifts.

Week 1: Saturday 7.45am - 1.00pm Sunday 1.00pm - 5.00pm

Week 2: Saturday 1.00pm - 5.00pm Sunday 7.45am - 1.00pm.

Main duties of the job

Provide weekend Reception cover for the Walk in Centre.

Support all clinical and Admin staff with general tasks as requested.

Independently greet patients via the intercom, triaging the patient in order to identify those with Cov-19 symptoms. These patients require further triaging to assess urgency and appropriacy and to determine where the patient should wait

Monitor patient queues, dealing with patient queries, collection of blood forms, urine samples, private letters, deliveries, couriers etc. You will be required to deal with frustrated and angry patients in a calm, empathetic and courteous manner.

Opening up the surgery – you will be responsible for de-activating the alarm, un-locking the main doors and follow check-list of duties in the morning

Closing down the surgery, locking main doors/windows, ensuring side doors are closed, switching off computers/fans/heaters, changing door names, emptying shredding bins and tidying reception waiting area in preparation for the next day.

Patient Support Receptionist duties are listed below. It is the responsibility of the duty holder to ensure that they know and understand the specific tasks related to the duties and seeking support as necessary.

Weekend Tasks

Morning Patient Support Receptionists Tasks

- open up reception area

- log on reception computers located on front desk

- unlock scripts box

- unlock patient access entrance

- empty letter box

Evening Patient Support Receptionists Tasks

- close down the reception area

- log off all computers that have been used in reception, ensuring that all users are logged out of clinical system

- lock scripts box

- ensure patient access entrance is locked and automatic mechanism is disabled

- undertake security checks of consulting rooms

In addition to the above, you will be required to undertake the following additional responsibilities on completion of relevant training.

· Patient notes - Culling and sorting patient’s records and letters in preparation for summarising.

· Script queries. Dealing and resolving script issues raised during the weekends.

· Fridge temperature – Checking and recording fridge temperature. This is required to ensure the fridges within the centre are at the correct temperature, any problems to be reported to WIC Supervisor or Practice Manager.

· Cancelling old prescriptions.

· Contacting and making appointments for patients on QoF and/or Seasonal Flu lists and ad hoc.

· Checking rooms on Sunday.

· Ad hoc duties.

Administration

- To have thorough knowledge of all Practice procedures

- To work in accordance with written protocols

Other Tasks

- Ensure building security – have thorough knowledge of doors/windows/alarm

- Any other tasks allocated by supervisor.

Personal / Professional Development:

The post-holder will participate in any training programme implemented by the Practice as part of this employment, such as training to include:

- Participation in an annual individual performance review, including taking responsibility for maintaining a record of own personal and or professional development

- Taking responsibility for own development, learning and performance and demonstrating skills activities to others who are undertaking similar work

- HEAT Sessions

Relief Cover

Staff will also be required to work additional shifts to provide relieve cover for colleagues who are absent on holiday or due to illness. All members of staff are expected to play an equal part in the provision of relief cover and this should be regarded as an integral part of the work role. Although every effort will be made to give prior notice and take account of personal preference, where it is essential to achieve adequate staffing for the surgery the Practice Manager may insist that a particular shift is worked.
