Portsdown
Group Practice is a friendly, forward thinking, well established GP practice
supporting 58,721 patients across 6 sites in the Portsmouth area. We are
currently looking for an experienced receptionist to join our growing
administration team. If you can work under pressure to high standards, are
flexible and reliable, with excellent interpersonal and communication skills,
and can deliver a high quality of care in a busy professional environment, we
would like to hear from you.
The role will be predominantly at our popular Somerstown Surgery, but there
would be the expectation that cross cover may be required at other sites to cover
sickness and annual leave. Daily tasks will include greeting patients on
arrival, booking patient appointments in a timely manner, whilst maintaining a
professional manner and treating all visitors to the Surgery with respect and
dignity.

About us
Portsdown Group Practice covers the whole of Portsmouth from
postcodes PO1 to PO7. We operate from 6
surgeries: Cosham Park House (PO6 3BG), Crookhorn Lane (PO7 5XP, Heyward Road
(PO4 0DY), Kingston Crescent (PO2 8AL), Paulsgrove (PO6 4HJ), and Somerstown
(PO5 4EZ).
We are our own Primary Care Network (PCN). We have Clinical
Partners, Salaried GPs and a comprehensive Nursing and extended clinical team
overseen by our Clinical Team Manager and consisting of Nurse / Paramedic
Practitioners, Registered Nurses, HCAs, Physician Associates , MSK Physio
Therapists and care co-ordinators. The Pharmacy team consists of Clinical
Pharmacists, Pharmacy Technicians and pre-registration trainee Pharmacy
Technician.
The Practice is well established, financially secure and
successful. Over the last few years we have earned maximum QOF points.
Our last CQC Inspection was in January 2020. We were rated Good overall and
Outstanding for the care we provide to Working Age People.

Responsible To:Surgery Team Leader
Main Purpose of the Post:
To provide high quality reception and general office/administration
tasks, relating to the practices provision of excellent primary healthcare,
and the smooth, effective running of the practice
Duties & Responsibilities of the Post:
Main Duties:
- Receive, assist
and direct patients in accessing the appropriate service or healthcare
professional
- Maintaining and
monitoring the practice appointments system
- Offer general
assistance to the Practice team and project a positive and friendly
image to patients and other visitors, either in person or via the
telephone
- Deal with all
general enquiries
- Facilitate
effective communication between patients, members of the primary health
care team, secondary care and other associated healthcare agencies
- Register new
patients to the practice onto the Clinical System.
- Ensure urgent and
home visit requests are recorded appropriately to ensure timely action
- Receive and make
telephone calls as required; Participate in the practice centralised
call centre
- Promote online
services to patients
- Advise patients
of relevant charges for private services
- Take payment and
issue receipts for any chargeable services, ensuring accurate record
keeping
- Receive and
disseminate incoming mail as
appropriate
- Ensure any
safeguarding report requests are passed to the appropriate clinician in
a timely manner
- Open/Close
premises in line with procedure including activation/deactivation of
alarm.
- Ensure the
premises are completely secure.
Report any security issues accordingly.

deliveries and ensuring paperwork is forwarded accordingly, ad items are
stored swiftly and appropriately
Confidentiality:
As per both Government legislation and Practice Policies ensure that all
confidentiality, data protection and information governance policies and
guidelines are followed and strictly adhered to, reporting any infringements
to the Operations Office immediately.
Health &
Safety:
The post-holder
will assist in promoting and maintaining their own and others health, safety
and security as defined in the practice Health & Safety policy, the
practice Health & Safety manual, and the practice Infection Control
policy and published procedures. This will include:
- Using personal security systems within the
workplace according to practice guidelines
- Identifying the risks involved in work
activities and undertaking such activities in a way that manages those
risks
- Making effective use of training to update
knowledge and skills
- Using appropriate infection control
procedures, maintaining work areas in a tidy and safe way and free from
hazards
- Actively reporting of health and safety
hazards and infection hazards immediately when recognised
- Keeping own work areas and general / patient
areas generally clean, assisting in the maintenance of general standards
of cleanliness consistent with the scope of the job holders role
- Undertaking periodic infection control
training (minimum annually)
- Reporting potential risks identified
- Demonstrate due regard for safeguarding and
promoting the welfare of children.
