Job summary

Oak Tree Surgery and Pensilva Health Centre are seeking a motivated and enthusiastic Dispensary Lead to join our friendly and dynamic team.

Main duties of the job

The Dispensary Lead will be responsible for the safe, accurate and efficient dispensing of medication to our patients, providing advice and support for both patients and colleagues. Working alongside our clinical and support teams to provide General Practice services to 16700 patients. The post holder will lead the dispensary team based at Pensilva Health Centre to dispense all routine repeat prescriptions, dispense Pensilva Patients acute prescriptions and maintain sufficient dispensary stock in line with the strategic objectives of the practice.

Job description

Job responsibilities

The following are the core responsibilities of the Dispensary Lead. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:

a. To lead the dispensary staff in accordance with current practice policy and be responsible for planning and allocating work for dispensary team, ensuring all opening hours are staffed (0830-1800).

b. To oversee all dispensing matters within the practice, checking colleagues dispensing as required

c. To lead the team in the collection of prescription charges from patients, cashing up and balance monies received

d. To cross reference number and value of prescription charges against statements, ensuring accuracy

e. To effectively coordinate the requests for repeat prescriptions via telephone, email, online and over the counter

f. To ensure requests for repeat prescriptions are processed within a 5 working day timeframe for patient collections and medication deliveries to our patients homes.

g. To oversee the return of medicines from patients

h. To deal with uncollected medication in accordance with current policy

i. To effectively manage stock levels within the dispensary, ensuring adequate levels are held, minimising wastage and expenditure

j. To promote a safe and effective working environment, conforming to legislation, ensuring drugs are stored appropriately within temperature parameters and securely

k. To effectively manage the cold chain process, ensuring all staff are aware of the requirement to accurately record temperatures and store items appropriately

l. To co-operate with scheduled stock takes in accordance with guidance

m. To be responsible for the effective first line leadership, appraisal and professional development of dispensary staff

n. To work with a supervisor to take responsibility for developing own clinical competence, leadership and reflective practice skills within the workplace

o. To assist in the completion of DSQS

In addition to the primary responsibilities, the Dispensary Lead may be requested to:

a. Partake in audits as directed by the Practice Manager

b. Provide mentorship and guidance for trainee dispensary staff and students

c. Review the latest guidance ensuring the dispensary conforms to NICE, CQC etc. guidance

d. If necessary, act as the practice point of contact for all medicines related matters, and work as a team to resolve issues, establishing positive working relationships

Person Specification

Qualifications

Essential

  • NVQ Level 2 in Pharmacy Services or equivalent.
  • NVQ Level 3 in Pharmacy Services or BTEC in Pharmaceutical Science or a willingness to achieve this qualification.
  • Registered with GPhC as a Pharmacy Technician
  • NVQ Level 3 in Management or equivalent, or equivalent experience in Management role

Desirable

  • Nationally recognised Accredited Checking Pharmacy
  • Technician qualification (ACPT)
  • Managerial qualification to Diploma level or equivalent experience

Experience

Essential

  • Experience of working in a dispensary.
  • Experience in managing dispensary services in primary care

  • Broad knowledge of general practice
  • Good clinical system IT knowledge of EMIS
