Job summary

Westbank Practice, Starcross & Exminster are looking for an experienced Receptionist for Maternity cover for a 12-month fixed term Contract. We are looking for an experienced, friendly and enthusiastic person to join our team.

The Reception team are the first point of contact for all patients, and providing a supportive, efficient, confidential and professional service is essential.

The ideal candidate will have experience working in a busy reception or administration environment, have strong customer service skills and be competent with IT packages.

This is a challenging environment. Being organised, using your initiative and being able to work under pressure is essential.

NHS Experience would be ideal but not essential. Training will be considered for the right candidate.

Main duties of the job

To be responsible for undertaking a wide range of reception and duties.

Reception duties can include but are not limited to; greeting and directing patients, effective use of the appointment system, booking appointments, processing of information and assisting patients as required.

You will act as the central point of contact for patients; arrange the distribution of information, messages and enquiries for the clinical team; and liaise with multidisciplinary team members and external agencies such as secondary care and community service providers.

Westbank Practice is a doctors surgery with two sites. Our main site is situated in Exminster, and our branch site is in Starcross. We have a list size of just under 9,000 patients and employ over 30 members of staff.

Job responsibilities

To be responsible for undertaking a wide range of reception duties and the provision of general support to the multidisciplinary team. Duties can include but are not limited to, greeting and directing patients, effective use of the appointment system, booking appointments, processing of information and assisting patients as required. To act as the central point of contact for patients, the distribution of information, messages and inquiries for the clinical team, liaising with multidisciplinary team members and external agencies such as secondary care and community service providers.

The following are the core responsibilities of the receptionist (this list is not exhaustive, and some roles and responsibilities may not be dealt with by all members of the team):

- Maintaining and monitoring the practice appointment system

- Process personal, telephone and e-requests for appointments

- Answer incoming phone calls, transferring calls and dealing with the callers request appropriately

- Signpost patients to the correct service

- Initiating contact with and responding to, requests from patients, team members and external agencies

- Read code data on SystmOne

- Photocopy documentation as required

- Process and/or forward incoming and outgoing emails from the mailbox

- Manage repeat prescriptions, ensuring they are processed accurately and efficiently

- Data entry of new and temporary registrations and relevant patient information as required

- Input data into the patients healthcare records as necessary

- Direct requests for information i.e. SAR, insurance / solicitors letters and DVLA forms to the administrative team

- Manage all queries as necessary in an efficient manner

- Carry out system searches as requested

- Maintain a clean, tidy, effective working area at all times

- Monitor and maintain the reception area and waiting room notice boards

- Support all clinical staff with general tasks as requested

- Ordering and monitoring of stationery supplies

- Complete opening and closing procedures in accordance with the duty rota

There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels
