Job summary

Waterfoot Medical Practice are looking to recruit a part time medical secretary to join our friendly and progressive practice.

We are a large GP training practice serving a population of over 9,000 patients.

Main duties of the job

Our ideal applicant is enthusiastic, hard-working, and must be able to demonstrate excellent communication and IT skills. You will possess good organisational skills and be able to multi-task in a very busy environment. Using your own initiative and prioritising your workload is also an essential skill for this role. 

A background in Primary Care or NHS secretarial is desirable, though not essential, as training and support will be available for the right candidate.

About us

The position is part time at 25 hours per week and is to be worked flexibly during the surgery opening hours of Monday to Friday, 7am to 8pm.

Membership of NHS Pension Scheme is automatic.

Job description

Job responsibilities

The post holder will form part of the multidisciplinary team providing high quality care for patients of the practice. The role of secretary is fundamental to the smooth running of the practice and has an exciting opportunity to expand your knowledge and skills alongside the growth of the practice.

The role is varied and includes providing administrative support to clinician, face to face work with the public and dealing with telephone enquiries.

The post holder will need to have a clear understanding of customer care, be able to work flexibly as part of a secretarial team and be able to use their initiative and prioritise their workload.

Main Duties and Responsibilities

The post holder will be required to:

  • Receive incoming and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.
  • Provide an efficient/audio/copy typing and word processing service for GP’s and health professionals as required. This includes the typing of letters, reports, patient referrals etc. in an accurate and quality manner.
  • Use the ERS Choose and Book system to refer into other primary and secondary care facilities
  • Create invoices using the report and fee guidelines that have been put in place by the GP’S in accordance with the BMA.
  • Deal with solicitors and insurance letters requesting patient records. Keep the system up to date and deal with letters and invoices.
  • Record information on a spread sheet correctly and efficiently.
  • Manage small amounts of monies through the petty cash system.
  • Work with the wider practice team to undertake clinical correspondence management, in line with practice protocol.
  • Assist in the running of the minor surgery and 24-hour ECG services offered within the practice.
  • Ensure that any medical forms brought into the practice are dealt with efficiently according to practice policy.
  • Efficiently deal with messages from GP’s, nurses and staff outside the practice such as pharmacies and social services
  • Input and receive data from computer and paper systems.
  • Provide cover for members of the secretary team during periods of sickness and annual leave.
  • Participate in any training programme implemented by the practice as part of this employment.
  • Ensure all mandatory training is completed on an annual basis including; safeguarding, confidentiality, equality and diversity.
  • Participate in annual appraisal reviews.
  • Any other duties at the request of the clinician or practice manager
