Dispensary Manager/Team Leader/Dispenser

Job summary

We are looking for a self-motivated, conscientious person to join our friendly semi rural practice in Wickhambrook. We seek an experienced qualified dispenser, who can effectively co-ordinate and manage our dispensary whilst supporting the delivery of an excellent and profitable service to our dispensing patients. The post-holder will work hands-on as a dispenser but also have dedicated administrative time, working not only with dispensary colleagues but with the wider practice team. The successful applicant will enjoy working in a busy environment with face-to-face and telephone patient contact, and be a proactive member of our team. They will be able to demonstrate strict adherence to Policies and Procedures and ideally will have some awareness of managing staff and dispensary administrative procedures.

Main duties of the job

In order to qualify for shortlisting, your application will need to demonstrate the following:

  • BTEC/NVQ Level 2/3 recognised dispensing qualification or equivalent
  • Excellent customer service and communication
  • High level of attention to detail and accuracy
  • Team working ethos

  • Contracted hours of work approx 24 per week, the arrangement of these will be discussed with the successful candidate. Must be flexible between 8am and 6.30pm, and the ability to cover holidays/sick leave and occasional early/late shifts is essential.

About us

  • We are a GMS practice dispensing to almost all of our 5080 patients.
  • We are in an idyllic location in purpose built premises in the friendly village of Wickhambrook which is a semi rural area in Suffolk. We are well served by a good road network and are easily accessible from the nearby towns of Bury St Edmunds, Haverhill, Newmarket, Sudbury (bus service is not frequent so own transport essential).
  • Our clinical system is EMIS Web and we are proud of our consistently high achievement in the Quality and Outcomes Framework (QOF).

Job responsibilities

Job Summary

To be responsible for the processing of prescriptions in accordance with practice policy and extant legislation. In addition, the post-holder will be required to support and motivate the dispensary team in ensuring a high level of service is delivered at all times, whilst supporting the multi-disciplinary team in line with the strategic objectives of the practice.

To receive, assist and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.

To support the health care team in providing an efficient, helpful and informative service.

Primary responsibilities

The following are the core responsibilities of the Dispenser. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:

  • To be responsible for checking all medicines dispensed, ensuring there are no discrepancies
  • Dispensing and handing out medicines to the entitled population safely and accurately
  • Collecting prescription charges in accordance with dispensary protocol
  • Maintaining stock levels within the dispensary, liaising with the team and reordering
  • Receiving and storing supplies in accordance with current policy ensuring the cold chain is maintained where applicable
  • Ensuring controlled drugs are stored and dispensed in accordance with practice policy
  • Safe disposal of returned and/or out of date medicines
  • Ensuring all repeat prescriptions are processed within a 48 hour timeframe
  • Providing patients with advice regarding all prescription matters
  • Refer medication queries to Doctors as appropriate
  • Process prescription requests via email, phone, face-to-face and online
  • Processing Dossett boxes
  • Maintaining a clean and safe working environment at all times (housekeeping duties)
  • Maintain accurate records at all times, coding entries appropriately
  • Be conversant with and adhere to all Standard Operating Procedures (SOPS) governing dispensing work
  • Provide holiday/sick leave cover for other dispensing staff
  • Administrative duties
  • Housekeeping duties may include:

a) Unlocking or locking premises (if you are a designated key holder)

b) Switching on/off air con/heating

c) Being responsible for sanitising work area before and after each session

  • Any other duties that may arise from time to time
