Job summary

We are looking for highly motivated reception administrators to join our dynamic and friendly team to work in state of the art GP Led Health Centre, rated "Good " by CQC. We are an innovative and forward thinking Systemone practice committed to delivering the highest standard of patient care. Hours are mainly Monday Friday however some weekend cover is also required. Competitive salary offered.

Main duties of the job

To provide and maintain a high standard of care for visators and patients as well as providing assistance to other members of the primary healthcare team.

The duties will include all tasks normally undertaken by a reception administrator. This will include but is not limited to the following:

To ensure that all visitors, telephone callers, and patients accessing the practice are greeted professionally. To ensure all telephone calls are managed appropriately.

To assist patients in accessing the most appropriate healthcare professional to meet their clinical need.

To manage the flow of patients and patient administration queries. To ensure the administrative clinical pathways are followed.

Job responsibilities

Reception duties:

Greeting and booking in or patients for surgeries and clinics.

Dealing with patient enquiries efficiently and courteously.

The receiving and recording of telephone messages taking appropriate action

Making appointments on Systemone, by processing appointment requests for today, future appointments from patients in person and on the telephone.

Dealing with all telephone queries/requests from patients, and acting as liaison with the Doctors/Nurses as necessary. Pulling and filing medical records as necessary.

Taking home visit requests

Advising patients of relevant charges for private services

Receiving specimens from patients ensuring all their details have been recorded whilst following Health & Safety policy.

Administration duties:

To have a thorough knowledge of all practice policies and procedures

To work in accordance of written protocols

Provide administrative support for clinical staff.

Filing patient records and correspondence when necessary

Opening and distribution or practice post.

Registering new patients following the Registration Protocol.

Scanning of documents onto the medical system. All scanning should be cleared daily.

To send letters to patients as necessary.

Photocopying of notes and other information (in reception this includes: ensuring enough forms are printed or photocopied: consent forms, appointment card, change of details etc.).

Changing details on Systemone i.e. Change of address, telephone numbers etc.

Cover for other team members may be required for sickness and annual leave.

To carry out any other duties agreed between employee and the practice to ensure the smooth running of the practice.
