Job summary

Medical Secretaries are representatives of the practice and therefore it is essential the post-holder will:

  • Ensure that patients are received in a courteous, reassuring and non-judgmental manner
  • Undertake a wide range of clerical tasks, have excellent keyboard skills and knowledge of word processing and data inputting
  • Be required to work on their own initiative and be first point of contact for the building in which they are based
  • Provide a reception and secretarial support function to the Practice
  • To be able to work with minimum supervision within the parameters of this job description
  • To be part of the multi-disciplinary team and to act as a team member

Main duties of the job

  • To provide an efficient audio, copy typing and word processing service for GPs and Health Professionals as required. This includes the typing of letters, reports, patient referrals, minutes, memorandums, etc. in an accurate and quality manner
  • To make appointments, bookings and admissions as required. Choose and Book
  • To establish and maintain filing and administrative systems so that written or computer information is easily accessible and secure
  • To retrieve medical records and assist the completion of medical/insurance records
  • To receive incoming and initiate outgoing telephone calls in order to facilitate timely and appropriate communications with others, taking messages and dealing with appropriate queries
  • To maintain the computer clinic system in an accurate and secure manner
  • To assist with the gathering of statistics and information when required
  • Maintain adequate supplies of office stationery in order to perform your secretarial duties
  • To receive and dispatch mail and maintain a pending system
  • Reception duties in accordance with job responsibilities
  • Charging patients the appropriate amount for private work, providing a receipt to the patient and recording the charge in the Petty Cash book
  • Photocopying insurance medicals and reports and maintaining a record book and files thereof

About us

We are a friendly teaching and training practice, with approximately 10,000 patients. With around 30 members of staff ranging from GPs, nurses, social prescribing link workers, and admin staff.

  • Process all radiology results
  • Operate choose and book system by arranging patient hospital out-patient appointments, provide support and training to colleagues using choose and book, mentoring other staff of choose and book issues
  • Maintaining statistics for monthly and annual audits
  • Recording direct and interim bookings
  • Monitoring all correspondence and entering by Read Codes
  • Ensure correspondence is forwarded to the appropriate clinician
  • Entering hospital numbers onto patient computer record
  • Photocopy as requested
  • Ensure records are kept neat and tidy and in good repair with all necessary information recorded correctly on the outer cover
  • Ensure all new patient medical records are prepared in accordance with practice policy ready for GP summaries
  • Filing and extracting records and any documents relating to patients
  • Keep accurate records regarding the distribution of new medical notes
  • To be involved in clinical audits as and when appropriate
