Job summary

We are looking for an enthusiastic and self-motivated Medical Secretary to join our practice team.

The ideal candidate would have experience of using SystmOne, good sound knowledge of medical terminology, and have worked as a Medical Secretary within the NHS.

You must be accurate, have good communication skills, be a team player, and also be able to work flexibly in the absence of colleagues.

Main duties of the job

Main Duties and Responsibilities:

  • Provide comprehensive administrative support to GPs and clinical staff, ensuring smooth day-to-day running of the surgery.

  • Manage patient appointments, including booking, rescheduling, and cancellation via telephone and electronic systems.

  • Maintain and update patient records accurately and confidentially in line with GDPR and NHS guidelines.

  • Prepare and type correspondence, referral letters, and reports for clinical and non-clinical purposes.

  • Receive and direct incoming calls, queries, and messages efficiently, providing excellent customer service to patients and staff.

  • Organise and coordinate meetings, clinics, and training sessions as required.

  • Liaise with external agencies, hospitals, and community services regarding patient referrals and information requests.

  • Ensure confidentiality and data protection policies are strictly adhered to at all times.

  • Undertake general office duties such as filing, photocopying, and stationery management to support team efficiency.

  • Efficiently manage and coordinate the diaries of GPs and clinical staff, scheduling appointments, meetings, and clinics to maximise time and resource utilisation while minimising conflicts.
