Job summary

Were looking for an enthusiastic person to join our practice as IT and Data Admin Lead. This is a full-time job that combines elements of roles previously held by separate individuals.

Main duties of the job

Your duties will involve getting to know all our IT systems well enough to deliver first line troubleshooting and training to new and existing staff with any of the IT systems, particularly when changes occur. You will also create clinical rotas and have responsibility for the workflow of correspondence and test results that arrive in the practice on a daily basis. As we move towards more online interactions with patients, you will be the first port of call for helping the whole team to make the best use of digital systems to provide an efficient service to all our patients.

A keenness to learn, good organisational skills and a high level of interest in IT systems are all important for this role. You must have good attention to detail and an ability to organise your own work, as well as the foresight to predict how system changes will affect our existing processes. The ability to train staff would be useful and above all a willingness to embrace new technology and a can-do attitude are essential.

About us

We are a friendly GP practice in South Leicestershire with around 11,000 patients. We have a team of around 40 staff, including 8 GPs and were a training practice for GP registrars and medical students.

Job description

Job responsibilities

The post-holder will be responsible for the day-to-day functionality of all the practices IT systems, undertaking a wide range of systems management duties in support of the multidisciplinary team. Whilst providing administrative input into clinical rotas, they will lead the practice in developing the use of Information Technology to enable it to make the most of the SystmOne clinical system and to use technology and data to improve patient care and increase efficiency.

Main duties/key tasks

Oversee and organise surgery timetables and duty rotas for clinical staff and identify where locum cover is required.

Oversee GP Registrars rotas, including induction, and report any absences.

Oversee Medical Students rotas, including induction, and report any absences.

Maintain all practice IT systems, including SystmOne, TeamNet, AccuRx, Jayex, Bluestream and the telephone system, and liaise with Leicestershire HIS or other relevant suppliers when necessary.

Set up new user accounts, including smartcards, email, ICE, etc., make amendments to current users and remove old users from all the computer systems in place in the practice.

Provide a local support service to all staff , resolving issues with computer-based systems and equipment and training all staff in practice IT systems to ensure competence in their own particular fields of usage.

Provide initial training to new starters on computer systems, including registrars and medical students.

Undergo regular training to keep up to date with GDPR legislation and review relevant practice procedures when changes occur.

Ensure the practice is compliant with all aspects of Information Governance and Data Protection, inclusive of populating the Information Governance Toolkit.

Promote the use of online systems, including the NHS App, to enable patients to access appointments, prescriptions, records, etc and deal with any patient queries related to online access.

Make sure the practice website is kept up to date and interesting.

Carry out searches and run reports on both a regular and ad hoc basis as required.

Oversee and assist in ensuring the workflow of correspondence and results is dealt with within the agreed timescales.

Use Eclipse and any other tools to support proactive case management of patients and assist the practice in automatic reporting of outcomes.

Assist with QOF by ensuring registers are correct and checking coding and reviewing prevalence.

Ensure the recall system is used effectively by the relevant members of staff.

Lead on any changes of IT systems or innovative use of new and upcoming technologies, working with the PCN Digital Transformation Manager when appropriate.

Additional administrative tasks as required by the management team which may be added to this role as the needs of the practice change over time.
