Main duties of the job

The successful candidate should be articulate, have good verbal and written communication capabilities, good computer skills and be able to demonstrate excellent customer service techniques.

You will need to have a positive, calm friendly, hardworking attitude and be able to work as part of a close team. The practice has nearly 11,000 patients which leads to high call volumes and patient interaction, it is important that you can work efficiently and effectively when under pressure.

Experience and knowledge of SystmOne clinical system would be beneficial but full training will be provided. As well as the core reception duties and telephone call handling, our personnel get involved in a wide variety of administrative activities.

Hours of working will be:

26+ hours per week Monday to Friday afternoon position between 13:00 - 18:45hrs

and

26.25 hours per week Monday to Friday morning position 07:45hrs - 13:00hrs

Some flexibility would be required to cover sickness or leave.

Currently there are two reception teams morning and afternoon each team is made up of 3 personnel with a Supervisory Reception Manager we are looking to expand this to four personnel in the morning and afternoon.

Job responsibilities

Primary Responsibilities

The following are the core responsibilities of the receptionist/administrator. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:

Maintaining and monitoring the practice appointment system

Process telephone requests for appointments

Answer incoming phone calls, transferring calls or dealing with the callers request appropriately

Update patients on their pathology results

Monitor Blood Pressure machine

Signpost patients to the correct service

Process incoming and outgoing mail and emails

Initiating contact with and responding to, requests from patients, team members and external agencies

Support GP Teamnet within the Practice keeping information relevant and up to date.

Process hospital correspondence

Photocopy documentation as required

File and store records as required

Data entry of new and temporary registrations and relevant patient information as required

Input data into the patients healthcare records as necessary

Scanning of patient related documentation and attaching scanned documents to patients healthcare records

Process requests for information i.e. SAR, insurance / solicitors letters and DVLA forms to the administrative team

Manage all queries (including administrative queries) as necessary in an efficient manner

Maintain a clean, tidy, effective working area at all times

Monitor and maintain the reception area and notice boards

Support all clinical staff with general tasks as requested

Secondary Responsibilities

In addition to the primary responsibilities, the medical administrator may be requested to:

Complete opening and closing procedures in accordance with the duty rota

As required support dispensary in the management of repeat prescriptions, ensuring they are processed accurately and efficiently

Provision of refreshments for staff and visitors as required; loading and emptying of the dishwasher and keeping the kitchen area clean and tidy

Covering for holidays and sickness if necessary, also in the event of any practice changes. (e.g. Extended hours/late evenings/Saturdays).
