Job summary

Reporting to the Director of HR & OD, the HR Administrator will be a valuable member of the busy HR Team and will ensure that all administrative and transactional support is provided to the highest standard, in order to meet the operational needs of our organisation.

About You

We are looking for someone who is efficient, flexible and resourceful, with a calm and friendly manner. You must have previous experience in HR administration, have excellent interpersonal skills, a collaborative approach and the ability to build positive relationships with people at every level. You will need to be a problem solver and enjoy developing and improving systems and processes. You will be dealing with confidential and sensitive information, so discretion and sound judgement are critical.

Main duties of the job

The postholder will have excellent communications skills, being required to deal with sensitive information and responding to managers and employees who are needing support or calling with a HR query or problem.

Assist the HR Team with the recruitment and selection processes by way of:

- Production of job advertisements and other content to attract candidates to work for Affinity Care

- Support the sifting of applications, arranging interviews, ensuring appropriate documentation is received from new recruits, including evidence of Right to Work in the UK and references, DBS and Police Vetting applications and bring any relevant factors to the attention of the HR Adviser

- Ensure candidates have the appropriate professional registration and indemnity insurance, where applicable.

- Support with drafting offer letters, contracts of employment and all other new starter information

- Support the pipeline of candidates from attraction through to successful completion of probation to ensure that the candidate experience is as good as it can be

- Liaise with line manager to arrange inductions for new staff

- Liaise with candidates throughout the hiring process and beyond to ensure that they are engaged and excited about working with Affinity Care

Support the HR Team with Disciplinary and Grievance hearings, Consultation Meetings, taking appropriate notes and confirming the outcome.

Job responsibilities

The post holder will work as part of a busy and productive team, providing high quality support, to the Director of HR, HR Adviser by way of ensuring the efficient and effective implementation of the administrative function.

Task will include but are not limited to: dealing with HR recruitment, selection and training issues, supporting the on-boarding process and management of IRIS HR system and payroll notifications.

The postholder will have excellent communications skills, being required to deal with sensitive information and responding to managers and employees who are needing support or calling with a HR query or problem.

Assist payroll by providing relevant information e.g. absence, sick days, overtime, changes to hours, working patterns in an accurate and timely manner

Respond as appropriate to telephone calls/visits from employees and managers, encouraging employees to use their Line Managers for HR support

Ensure managers accurately complete required documentation for various HR processes including flexible working requests, training, induction and make sure all required supporting documentation is validated and filed in line with policies and processes

Respond to HR queries on a range of topics including policies, payroll, maternity, paternity, flexible working

Ensure the IRIS HR system is kept up to date on an individual and organisational level, providing timely and accurate reports where required

Co-ordinate reference requests and provision of contractual information for staff for reference requirements, including writing letters for visas.
