Job summary

We are seeking an efficient Medical Secretary to join our team at Tower House Surgery to cover maternity leave.

The post holder will be working with Doctors, Nurses, Paramedics, hospital departments and of course patients. The post holder will need to be organised, flexible and have good communication skills. The ability to work under pressure and effectively prioritise their own workload is essential. In return, they will be working in a very friendly and supportive environment.

Medical Secretarial experience or qualification is preferred and candidates must have the ability to touch type. Experience of using Emis web and Ardens would be an advantage.

We are a caring family focused GP Surgery located on West Wycombe Road with a patient list of nearly 11,000.

We have 5 Partners, three salaried GP's, 2 Paramedics, 3 Nurses, a HCA, Midwife, Reception team, Clinical correspondence team, Secretarial team, prescription clerk, summariser, registrations clerk, operations manager and practice manager.

Job description

Job responsibilities

To provide audio typing, secretarial and administration services to the Practice thereby assisting the Doctors and the Senior Management team to provide an efficient and effective service.

  1. REFERRALS

    • Using the DigiPlayer, type confidential referral letters from the doctors to hospitals and other agencies.

    • Process and send referrals via various means including EMIS tasks, e-RS, DXS, email, or other appropriately defined means.

    • Monitor the e-RS worklists to ensure all relevant actions are taken if referrals are rejected or advice is provided.

    • Monitor and action the referral management list on EMIS.

    • Set up referral templates within the clinical database, and maintain and update standard letters and forms used in the Surgery.

    • Monitor and action the task list on Docman.

  1. CHILD PROTECTION

    • Maintain tracking spreadsheet for all Child Protection (CP) cases, noting the current status of each case.

    • Liaise with social workers and Bucks County Council regarding new and existing CP cases.

    • Send template response form to the GP, completing initial information and assessing which GP is most familiar with the child/family.

    • Add relevant coding/warnings to EMIS at each stage of the process, including when child/family is no longer cause for concern.

    • Send, save and code CP Plans/conference notes.

  1. ADMINISTRATIVE DUTIES

    • Invoice agencies for work carried out by the Tower House team.

    • Liaise with hospitals and other agencies about referrals and appointments.

    • Organise meetings, prepare agendas and take minutes.

    • Update and maintain our document storage system (Docman), including address book with new numbers/addresses if required.

    • Checking and dealing with any queries sent to the secretary email account, uploading necessary documents to Docman and assigning to the appropriate GP.

    • Type other general patient-based letters and surgery documents as required.

    • Provide typing and other administrative support to the Practice Manager, and other senior management team members.

    • Ensure secretary mail is franked/stamped and ready to be posted.

    • Answer telephone queries.

    • Other administrative duties considered appropriate.

      3. MEDICAL REPORTS

  • Prepare medical insurance reports following the Practice Protocol agreed by the GP Partners.

  • Create reports for paper requests, redacting confidential information as necessary.

  • Log and track all medical report requests and payments.

  • Organise the GPs checking and signing the report.

  • Organise checking and verifying patient consent to the report.

  • Organise the patient reading the report if indicated.

  • Organise the invoicing and delivery of the report.
