Job summary

A receptionist role in a small friendly family GP practice with patient population size ~3400.

16 hours per week over 3 days

Provisions of the role are:

  • To provide a first contact to patients in person and via telephone.
  • Support to doctors, clinical staff & other team members.
  • To maintain the day-to-day smooth operating of reception processes, associated administrative processes and telephone systems.
  • To ensure patients are offered a high quality, efficient service which is confidential, professional, knowledgeable and polite at all times.

Main duties of the job

This job description is issued as a guideline to help understand the duties. It may be changed from time to time to meet new working requirements.

  • To handle all queries from patients efficiently at the reception desk & manage other general & internal queries.
  • Arrange appointments, manage prescription requests & administer prescriptions processes.
  • Use clinical system software including EMIS Web, Docman and to enter clinical computer data with accuracy. Processes typing referral letters dictated by the GPs & meeting deadlines.
  • To engage in other reception and administrative duties such as scanning of hospital letters, note summarising, registration links, etc.
  • To maintain the good order of the reception area & other work areas & waiting rooms.
  • To ensure that all protocols are adhered to at all times; & that daily tasks are completed in a timely efficient & accurate manner.
  • To support & contribute to self & team development, treating colleagues with dignity & respect.
  • To work flexibly - covering staff absences & holidays.
  • Working over 4 days with 6.30pm finishes to ensure cover of our core hours
  • To open and close up the surgery depending on hours worked.
  • Engage in duties of health & safety, infection control, audits, etc.
  • Attend Practice meetings & training.

We are looking to appoint a receptionist to join our small busy GP practice who will be the first point of contact for patients and and visitors as well as carrying out general office management tasks.

You will be responsible for the reception and general administrative duties within the Practice and work within the policies and procedures to provide a comprehensive high quality service and deal efficiently and courteously with patient enquiries.

You will have excellent communication skills, a compassionate and friendly nature who can operate in a busy environment with a range of people and professions.

Your regular duties in this role will be dealing with telephone, face to face and electronic enquiries, booking and/or amending patient appointments, contacting patients to provide information from the clinical team and assisting patients to access our services and those available in the wider community.

This role is ideal for someone who is highly organised and an effective communicator who can provide a professional and warm welcome to our patients, ensuring every contact is of the highest quality.

IT skills are essential, as you will be regularly accessing the EMIS and Docman systems for data input, creating searches and processing prescription requests.

You will be expected to cover core hours, i.e, early start or late finish as we are open 8am until 6.30pm - working 16 hours over 3 days
