Job responsibilities
The following are
the core responsibilities of the Dispensary Manager. There may be, on
occasion, a requirement to carry out other tasks; this will be dependent upon
factors such as workload and staffing levels:
a.
To be
responsible for planning and allocating work for all dispensary staff
b.
To oversee
all dispensing matters within the practice, checking colleagues dispensing
as required
c. Dispensing medicines to the
entitled population safely and accurately
d.
To collect
prescription charges from patients, cash up and balance monies received
e.
To cross
reference number and value of prescription charges against statements,
ensuring accuracy
f.
To
effectively coordinate the requests for repeat prescriptions via email,
online and over the counter
g.
To ensure
requests for repeat prescriptions are processed within a 72-hour timeframe
h.
To manage
the return of medicines from patients
i.
To deal with
uncollected medication in accordance with current policy
j.
To
effectively manage stock levels within the dispensary, ensuring adequate
levels are held, minimising wastage and expenditure
k.
To promote a
safe and effective working environment, conforming to legislation, ensuring
drugs are stored appropriately, within temperature parameters and securely
l.
To
effectively manage the cold chain process, ensuring all staff are aware of
the requirement to accurately record temperatures and store items
appropriately
m.
To organise
stock-takes in accordance with guidance
n.
To process
invoices for payment, liaising with the Deputy Practice Manager as required
o.
To assist
with QOF targets
p.
Act as the
practice point of contact for all medicines related matters, establishing
positive working relationships
q. Overseeing the Dispensary teams
annual leave, liaising with the Managing Partner where appropriate
r.
Provide
mentorship and guidance for trainee dispensary staff, apprentices and
students
s.
Line manage
the dispensary staff in accordance with current practice policy
t.
To be
responsible for the effective line management, appraisal and development of
dispensary staff
u.
To take responsibility for developing their own clinical competence,
leadership and reflective practice skills within the workplace
v. Being an expert in
all aspects of the clinical system and be able to train other team members,
in the best use of the system
w. Ensuring compliance
with CQC regulations and standards
x. Producing data for
DSQS
y. The overseeing of
the endorsing and counting of all prescriptions
z. Ensuring the team
action all of their tasks effectively
aa. Preparing overtime
rotas and bringing them to the attention of the team
bb. Ensuring that
returned medication is disposed of appropriately
cc. Ensuring controlled drugs are
dispensed with in accordance with practice policy
dd. Ensuring that all
returned controlled drugs are disposed of and recorded correctly
ee. Safe disposal of returned and / or
out of date medicines
ff. The overseeing of
the ordering of the Dispensary NHS stationary
gg. Review and update Dispensary SOPS
hh. The monitoring of
drugs costs to ensure that we are purchasing at best price.
ii. Maintaining stock levels within
the dispensary, liaising with the team to facilitate reordering
jj. Report to the
Managing Partner any significant events relating to Dispensary
kk. Cross reference number and value
of prescription charges against statements, ensuring accuracy
ll. Completing monthly returns
following the relevant SOP

working environment at all times
oo. Maintain accurate records at all
times, entering appropriate information
pp. Assisting in the training and development of dispensary staff
Secondary
responsibilities
In addition to the
primary responsibilities, the Dispensary Manager may be requested to:
a.
Partake in
audits as directed by the audit lead
b.
Review the
latest guidance, ensuring the dispensary conforms to NICE, CQC, etc. guidance
c.
Support the Operations
Lead with bulletins on a quarterly basis, for the Practice newsletter
