Job summary

To provide a professional, friendly, informative and caring service to patients contacting ICP; by phone, in person or digitally

Main duties of the job

The receptionist role is the first point of contact with our patients, which calls upon you to represent ICP in the best, and most professional, light

Job description

Job responsibilities

To assist the doctors and other clinicians in delivering a high quality service

Receiving and directing patients on arrival in a courteous and efficient manner, adhering to Covid-19 guidelines

Answering general enquiries, explaining processes, responding to Footfall requests

Review and action Docman tasks in a timely manner

Working with the clinical staff to ensure that their clinic is prepared the night before, i.e. printing of blood forms

Answering telephone calls coming into the surgery and responding to callers as appropriate

Receiving and recording requests for home visits and messages for the doctors and nurses

Seeking patient information and results from hospitals and other organisations

Providing results to patients in a sensitive manner

Book transport for patients having to attend hospital appointments

Initiating computerised prescriptions as requested by patients

Entering patient data onto the clinical system

Contacting/chasing patients as requested by the Clinicians.

Booking of appointments

Photocopying

Contacting outside agencies in a professional manner by telephone, email or letter

Taking ownership / responsibility to investigate patient enquiries in a timely manner and feed back the outcome

You will be expected to take part in an annual appraisal at which your performance will be reviewed and your training needs discussed

Attend relevant meetings as required including staff meetings. You may be requested to attend other meetings at the request of the nursing, medical or management team

To provide cover for colleagues absences

To represent ICP to any external visitor to any site in a professional, friendly and caring manner

  • Warm and friendly telephone manner Outbound and Inbound calls
  • Very high level of grammar and spelling
  • Attention to detail in all aspects of work
  • Ability to multi-task, and complete the tasks, not leaving them unfinished
  • Ability to work to deadlines, highlighting to Line Manager ahead of deadline if unable to complete the task in time
  • Calm under pressure
  • Empathetic with patients who are undoubtedly ill, worried or frustrated when they contact / visit us
  • Friendly and engaging personality
  • Happy to roll your sleeves up and help with tasks
  • Inclusive, positive and active team member, sharing knowledge and insight not only with colleagues at your site, but across the business to your colleagues at the other three ICP sites
