Job summary

This friendly, forward thinking GP Surgery is seeking a Full Time Administrator for 37 hours per week or 2 x part time hours to job share, to add to our existing hard working Administrative team.

We are looking for enthusiastic (preferably) trained person who will contribute to the ongoing development of this well-established practice.

You will need to demonstrate:

  • Excellent customer service skills
  • Strong interpersonal skills
  • Strong computer skills IT passion
  • Organisational and administrative skills
  • The ability to learn new clinical software

Main duties of the job

To provide administrative support to ensure efficient operation within the admin team, to assist the practice to achieve its targets in view of the NHS clinical contract, to support the practice with IT enquiries for the clinical system and other IT areas. Direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient and effective way.

Provide general assistance to the Practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone

Job description

Job responsibilities

Administration

  • To have a thorough knowledge of all Practice procedures
  • To work in accordance of written protocols
  • To understand areas within the Quality Outcome Framework (QOF) and the Local Commissioned services (LCS)
  • Find areas of improvement to assist a smooth running of the admin team
  • Support the business/practice in areas of need, for the safety of our patients and staff
  • Initiating contact with and responding to requests from patients, other team member and associated Healthcare Agencies and providers
  • Making appointments for patients over the phone and assisting with general enquiries
  • Managing appointments for our patients with medical reviews
  • Ensure the clinical data is correct for the monthly claims within the NHS contract
  • To achieve a full understanding of the requirements for the Care Quality Commission (CQC)

Computer

  • Registrations of new patients computer data entry and medical records
  • Process patients change of address computer data and medical records (have knowledge of Practice area)
  • Process repeat prescription request in accordance with Practice guidelines (only when needed)

Telephone

  • Have working knowledge of telephone systems

Other Tasks

  • Help organise conference room for visitors and other training sessions
  • Ensure building security have thorough knowledge of doors/windows/alarm for opening up and locking up procedures
  • Provision of refreshments for staff and visitors as required; loading and emptying the dishwasher and keeping the kitchen area clean and tidy
  • Any other tasks allocated by managers
