Job summary

Monday to Friday

Monday, Tuesday, Wednesday and Friday 12.30-6.30pm

Thursday 12.30-8.30pm

One Saturday per month 9-12

The practice is looking for an effective, motivated, proactive candidate to join our highly effective and friendly team.

The successful candidate will need to provide a first class level of reception / customer service to our patients.

The successful candidate will need to enjoy working in a busy reception and call centre environment and be prepared to go the extra mile.

The role of medical receptionist / care co-ordinator is very demanding therefore the practice is looking to recruit someone who is confident, has excellent communication skills, is highly organised and good at multi-tasking

The successful candidate must be computer literate and have a flexible approach to working.

Experience of working in a busy office environment would be an advantage.

Main duties of the job

The successful candidate will be required to provide effective and efficient reception and administrative services for the practice in a professional and courteous manner.

To provide high quality reception and administration services to patients, doctors, staff, colleagues, health service professionals and others.

To act as the first point of contact for patients accessing practice services and to portray the practice in the highest possible professional basis.

To ensure that enquiries from patients are effectively and courteously handled to the mutual satisfaction of the practice and patient.

Job responsibilities

Demonstrate a thorough understanding of practice systems and services and have a sound knowledge of referral streams from a range of sectors both internally and externally

Ability to undertake clinical signposting of patients accessing primary care services having a good working knowledge of internal practice systems, services and locality initiatives

To receive all home visits requests working to ensure appropriateness of call and action undertaken

To develop a thorough knowledge of the practice systems and to work in accordance with written protocols working independently in adherence to the working arrangements.

To understand agreements and policies concerning data sharing and patient consent

To provide excellent customer care, demonstrating empathy, patience and a holistic approach to customer / patient care, with commitment to building effective working relationships

To be able to triage calls, directing patients and service users to relevant personnel or services or locality developments

To demonstrate team working skills, peer support and mentorship on a daily basis

To have excellent enhanced communication skills with the ability to communicate in writing, (letters and electronically) and verbally with a wide range of providers and users of services, including patients, carers, voluntary; social, primary and secondary care providers

To keep accurate records of all patient / providers contacts using the templates as directed and updating as necessary

To understand the needs and safeguarding issues of vulnerable patient groups; including the elderly, housebound and those with long-term conditions, including physical and mental disabilities.

To provide assistance and respond appropriately in emergency situations

To be aware of own impact in the process of care; the need for reflection on practice and resilience when faced with challenging situations.

To report any incidents that might compromise health and safety of self, other staff or customers / patients

To provide a wholistic approach to patient needs; developing and supporting initiatives around healthy lifestyles, behaviour's and activities

Work independently with minimal supervision; providing and contribute to education, training and supervision when requested.
