Job summary

To provide administrative support to the Clinical Director and the PCN Manager in the Primary Care Network. Dealing with clinical and non-clinical colleagues in an efficient and polite manner. Undertake a variety of administrative duties to assist in the smooth running of the service in accordance with procedures, protocols, and timescales.

Main duties of the job

Organising board meetings to include agenda, attending, and taking minutes in the absence of the PCN Manager and to support where needed.

Link with HR to check that all Mandatory training is up to date for PCN staff. Request that the Service Level Agreement staff from SFT provide their mandatory training sheets to update TeamNet

Help to move current training certificates across from PCN drive to learn for saving against training dates for PCN staff.

Check Extended Access hours are in the comments box on TeamNet and that EA is covered before annual leave is approved.

Ensure staff working in same/similar roles have not requested the same days without prior authorisation.

Updating TeamNet with information directed by the management team in the PCN.

Updating PCN staff directory when new starters are in post and dissemination to practice managers.

Liaising with HR as directed by management.

Manage the PCN drive online updating folders where necessary.

Build and apply new administrative systems such as record management.

Supporting with projects as directed by management.

Attending meetings and answering queries as directed by management.

Remind practices to share dates of PAT testing with PCN staff and make sure staff take electrical equipment and safety devices for checking.

Located in Somerset, Taunton Deane West Primary Care Network consists of Three GP practices, Luson Surgery, Wellington Medical Centre and Lister House. You will be working in a team consisting of Care Coordinators, Complex Care Nurses, First Contact Physiotherapists, Occupational Therapists, Pharmacists, CYP Mental Health Link Practitioners, Digital Data Coordinators, in addition to Practice staff.

The post-holder will comply with the Data Protection Act (1984), The General Data Protection Regulations (2018) and the Access to Health Records Act (1990).

The post-holder will comply with all necessary training requirements relevant to the role as identified by the organisation; in particular, the post holder must complete the specified care coordinator training delivered by the Personalised Care Institute.
