Job summary

To be responsible for all aspects of the Practices facilities management and premises to ensure the cleanliness, safety and security of the Practice buildings and grounds at all times. To contribute to practice decisions regarding premises management and development.

Knowledge of Mechanical and Electrical systems would be beneficial.

Main duties of the job

Responsible for performing routine building maintenance tasks.

Manage the procurement of equipment, supplies and services within target budgets

Act as the focal point for all repair and maintenance issues and refer them to the Operations Manager, or Cleaners as appropriate.

Ensure minor maintenance issues are dealt with promptly and report to Operations Manager on status of any equipment breakdowns.

Perform minor electrical maintenance to include but not limited to replacement or repair of fixtures (e.g. wall switches and outlets, incandescent and fluorescent bulbs and tubes, sockets, fuses, minor appliances, cords etc) using appropriate hand, power and speciality tools.

Performs minor plumbing maintenance (e.g. replacement or repair of leaks in drains and faucets, unclogging of drains, replacing drain hoses on washers and similar devices, etc.)

Reconfigure, install, position and remount modular offices and space (e.g. furniture, wall panels, work surfaces, storage bins, lighting, file cabinets, etc) to accommodate user needs and maximise office space using various hand, power and specialty tools.

To be responsible for the overall security arrangements of the premises including ensuring that staff are aware of the procedures on security and the use of alarm systems, that there is an appropriate system of key holding management, that periodic reviews off site security are conducted and that appropriate progress is followed through.

To review heating, electricity and water usage and to advise the business manager on proposals for energy saving methods. To be responsible for the ordering and checking of invoices, monitoring of budgets and keeping stock records of all equipment and tools within the post holders sphere of responsibility.

To assist the Finance Manager in a regular procurement programme to ensure effective management of contractors/suppliers/maintenance contractors for best value and the right level of requirement.

Respond (on a list basis) to call outs by police and Alarm Company Control during closure periods including nights and weekends. To maintain confidentiality of information acquired in the course of undertaking duties for the practice.

To be responsible for your own continuing self-development, undertaking training as appropriate.

To undertake other duties appropriate to the grading of the post as required. Must be able to work flexible hours.

Planned Maintenance:

To be responsible for ensuring the safe and efficient operation of all premises related mechanical, electrical, heating services and other, including ensuring the completion of all annual portable appliance testing, monitoring and recording of meter readings/returns as required.

To be responsible for the planned and ad hoc maintenance and upkeep of the premises and equipment including the required safety checks.

To liaise with contractors as required. To be responsible for the upkeep of gardens, all weather surfaces and to ensure the maintenance of boundaries, footpaths, roads and rights of way within the practice premises.

Organise maintenance schedules including annual gas service, security and fire assessments, PAT testing etc to comply with current legislation; monthly emergency lighting and fire extinguisher checks, weekly fire alarm tests and legionella testing (monitoring)

Prepares the surfaces and paints various structures and equipment (e.g. walls, doors, restroom facilities, etc.) to preserve wood and metal parts from corrosion and maintain a safe comfortable working environment using various painting equipment and related tools (e.g. rollers, brushes, thinners).

External Contractors:

To assist with all aspects of any building projects and maintenance work undertaken on the practice premises, including acting as a point of contact with regard to liaising with building contractors and monitor work and verify that work has been done satisfactorily.

To determine whether maintenance should be undertaken in-house or by commissioned contract services and to assist in the selection of contract services where appropriate, through consultation with the Finance and Estates manager.

To ensure the maintenance and periodic checking of fire and other safety equipment by specialist contractor. In cooperation with the Fire Service and other contractors, to be responsible for the installation and maintenance of all firefighting and fire alarm systems.

Health and Safety:

Ensure all members of staff comply with the Groups health and safety policy

Carry out risk assessments to comply with current Health and Safety legislation

Ensure any health and safety concerns are reported to the Operations Manager

To be aware of and adhere to applicable practice rules, regulations, legislation and procedures, national legislation (Health and Safety, COSHH, Data Protection).

To take appropriate action to ensure and monitor proper safe levels of lighting, heating and ventilation.

To be responsible for aspects of the practices risk management, including ensuring all necessary tasks for risk assessments are completed as instructed by the Finance and Estates Manager and the necessary checks are in place to meet all audit requirements.

To monitor the safe storage and control of any potentially harmful materials and chemicals used within the practice and ensure that such materials are appropriately marked and signposted.

To ensure that routine health and safety checks are carried out and undertaking responsibility for monitoring first aid and emergency supplies and equipment and maintaining the premises in a safe and healthy condition and to a high standard.

To undertake the operation and periodic checking of the fire alarm system and equipment and to initiate and record regular fire drills.
