Job summary

Here at Ruskington Practice we have an exciting opportunity for a confident, positive, enthusiastic individual to join our team as a Secretary/ Receptionist. The duties will include- receiving, assisting and directing patients in accessing the appropriate service or healthcare in a professional, courteous and effective way. The successful candidate will provide high quality supportive, efficient secretarial service within the Practice.

The contracted hours for the successful candidate are-

Monday 10:00-17:30

Tuesday 10:00-18:30

Wednesday 10:00-17:30

Thursday- Day Off

Friday 10:00-16:30

Extra hours are required to cover holiday and sickness.

Main duties of the job

To provide a high quality, professional service to patients, doctors, colleagues, health professionals and others. Demonstrate a pro-active approach to all secretarial services including referrals, typing letters and coding. Deal with telephone enquiries from hospitals, patients, consultants and secretaries ensuring the Practice is always portrayed in the highest possible professional manner. To ensure that enquiries from patients are efficiently and courteously handled.

The ideal candidate will:

  • Possess excellent IT skills and a willingness to learn
  • Be capable of prioritising tasks and remaining calm under pressure
  • Work to a high professional standard and avoid mistakes
  • Have excellent communication skills to liaise with patients and colleagues
  • Be able to deal with anxious and demanding patients
  • Demonstrate flexibility in hours to support the team

Previous experience within Primary Care an advantage, but not essential as training will be given.

Job responsibilities

Greet all patient and visitors into the Practice in a warm friendly manner.

Assist with all patients questions and queries.

Answer all telephone calls in a timely professional manner.

Make and amend appointments for patients.

Give out results to patient following all confidentiality protocols.

Support patients by entering AskMyGP requests.

Enter home visit requests via AskMyGP and print off visit sheets for doctors.

Register new patients and temporary residents, including inputting all information required from Patient.

Generate and Regenerate new online prescription password.

Complete all referrals ensuring 2 week referrals are tracked and booked.

Email relevant referrals/letters to appropriate department.

Seek out patients notes when requested by a doctor.

Providing clerical assistance, including, filing, photocopying, scanning and word/data processing.

Collect payments from patients for non-NHS services/inputting into Petty Cash Book.

Complete all Tasks/Notifications on SystmOne that are required.

Processing and distributing incoming hospital mail and date stamping it.

Ensure outstanding queries are explained and handed over to next shift, as necessary

Ensure the waiting room is kept neat and tidy at all times.
