Job summary

We have admin/reception team. We are a friendly supportive practice. We are looking for someone with good interpersonal skills, an excellent manner on the telephone and face to face and with exceptional computer skills.

Main duties of the job

Responsible for dealing with all non-clinical matters concerning the care of the patients, either in-house or by the telephone. You will be the first point of contact for the patients contacting and visiting the surgery.

Main duties of the role include dealing with patients both face to face and on the telephone, dealing with queries raised by both patients and other agencies, working through tasks sent by doctors and other clinical staff plus a huge range of other tasks too numerous to mention. The job is never quiet and never boring.

Job description

Job responsibilities

Managing patient requests in person, on the phone and via written communication

Greet and check in patients via computer

Make sure all visitors sign the visitors book

Booking, amending, rescheduling and cancelling patient appointments including domiciliary bloods

Register new and temporary resident patients on the computer

Producing, filing and Distributing prescriptions and sick notes

Action patient care follow- up arrangements as per clinicians instructions including using emails, patient tasks and telephone calls to contact patients and arranging home visits

Telephone/fax hospitals for test results, book ambulances etc.

Advising patients of chargeable services and processing payments

Providing patients with information about the Practice Services

General housekeeping of reception and waiting areas

Arranging home visits

Managing (copying) medical records attaching correspondence electronically (Scanning) and in hard copy and locating/filing in correct order.

Maintaining and updating the practice patient database and patient information using the computer.

Ensuring patient/ colleague and practice confidentiality and data protection is observed at all times.

Opening and locking the premises in the morning and evening

Attend staff meetings and training sessions as required to develop knowledge

Welcome outside colleagues, counsellors, district nurses, health visitors or locum doctors and assist them with their enquiries etc.

Any other duties as requested by the Senior Receptionist, Practice Manager or doctors
