SoliHealth is a federation of twenty-two GP practices across Solihull, established to develop general practice into a key partner in the development and delivery of healthcare services.

Main duties of the job

The Project Coordinator is responsible for overseeing the generation and maintenance of all clinical rotas, directing the administrative work streams, liaising with clinical and administrative staff.

Importantly the Project Coordinator is responsible for all policies and procedures required for the SoliHealth services incorporating clinical governance framework, health & safety, infection control and general data protection regulations.The Project Coordinator will attend meeting relevant to the post as required to be actively involved in the strategic and operational development of the service.

Management and use of resources and information

To keep all records that the role is responsible for or modifies up to date and maintained in an accurate and diligent manner.

To be proactive in the creation and development of an appropriate environment to allow the development of high quality, flexible and responsive services, including effective communication and contribution of ideas.

Support the implementation of cost improvement plans applicable to the service.

Ensure the safe and effective use of equipment and resources within the service.

Oversee the generation and maintenance of all clinical rotas.

Directing the administrative work streams, liaising with clinical and administrative staff.

Hub sites

Building the templates and rotas for PCN hub systems.

Maintain stock levels and ensure adequate equipment for the running of the service.

Ensuring Feedback forms and all audits are submitted on time.

Assist with the gathering of statistics and information when required.

General administration and tasks on clinical / other support software.

To be responsible for all policies needed for the Solihealth services and ensure they are reviewed in a timely manner.

Support in ensuring all staff are up to date with training and required registrations, and are familiar with latest guidelines, policies and procedures.

Ensure compliance with data security at all times and that staff have appropriate access to clinical systems.

Provide coordination and navigation for people and their carers across health and care services, working closely with social prescribing link workers, health and wellbeing coaches and other primary care roles.

Using appropriate COVID 19 and standard infection control procedures, maintaining work areas in a tidy and safe way and free from hazards.

To be responsible for audits.

Responsibility for staff

Acting as a role model within the team, motivating staff and setting an appropriate example.

To support with the development of work rotas for the service.

To be the go to person for staff with any queries (this may be remote at times)

Ensure new staff are supported and receive induction, supervision, training and support.

Strategic and service responsibilities

Attend meetings relevant to post as required to be actively involved in the strategic and operational development of the service.

Involvement to develop, implement and evaluate service changes.

To be actively engaged and support Health and Safety procedures and processes in partnership with Nurse Leads.

To assist in the co-ordination and facilitation of the achievement of service objectives.

To ensure that all activity is monitored and recorded timely and effectively.

To assist on the planning, development and delivery of high quality, cost effective and efficient services within the service in conjunction with the operational & clinical leadership team.

To manage communication channels for patient contact, e.g. email, website, phone calls as required by the manager.
