Job responsibilities
Providing comprehensive
medical secretarial and administrative support to the Dermatology team, which
consists of GPwER and Specialist Nurses, using the NHS e-Referral Service
(e-RS), and TPP SystmOne.
Regular direct and indirect
contact with patients, carers and relatives
Liaising with external
agencies and service, such as hospitals, GP surgeries and medical secretaries,
Health Visitors, District Nurses and
Pharmacies etc
Answering telephone calls on
behalf of the team and dealing with patient enquiries in a polite and efficient
manner, and resolving them where appropriate
Making own administrative and
medical secretarial decisions as appropriate
Overall responsibility for
receiving and dealing with e-RS referrals to the service, ensuring any urgent
referrals or tasks are dealt with quickly, that is, assessing the severity of
received referrals and passing them to the specialist.
Coping with the increase of
incoming referrals from GP surgeries due to more hubs being developed
Registering new patients onto
the TPP SystmOne, ensuring that all referrals, results and clinical
correspondence are scanned against the patient in a timely manner
Overall responsibility for
arranging timely appointments and follow-up appointments with the appropriate
health professional as detailed on the referral form and directed by the
specialist team
Dealing with patient
prescription issues and queries
Maintenance of the TPP system
and e-RS system including recording attendance, logging appointments, accessing
new referrals, and adding appointments outcomes in a timely manner.
Managing information that is
highly confidential and of a sensitive nature
Prioritising own workload on a
day-to-day basis, assessing and judging the work on a priority basis, whilst
liaising with the Doctor and Nurse Specialist, adjusting workload according to
changes in appointments, clinics or meetings as required.
Responsible for organising the
teams workload, arranging and coordinating diaries
Overall responsibility for
planning and organising clinics on behalf of the Dermatology teams across
Solihull, including the coordination of monthly clinical rotas.
Typing a wide range of
confidential correspondence to General Practitioners, Consultants and
patients.
To provide and receive complex
information on a daily basis. To
exercise initiative and judgement based on acquired knowledge and experience
when dealing with enquiries of a clinical and non-clinical nature
Reporting / Analytics:
Awareness of key targets, e.g.
waiting times, and taking necessary steps to ensure these are met.
Support the internal analysis of key service data to inform the Board
and Steering Groups of service viability and delivery against its planned
objectives
Support the coordination of contractual data requirements for submission
to BSOL CCG, liaising with Hub Managers and Service Leads as required.
Governance / Compliance:
Support any work required for compliance with CQC & other statutory
registration requirements
Operational / General:
Responsible for ordering, installation, use, repair and maintenance of
clinical and office equipment, and maintaining stock control at each of the
hubs.
The post holder will need to be able to travel to the hubs across
Solihull as and when required.
Any other duties required to support organisational delivery
