Job summary
We are a forward-thinking practice looking for an enthusiastic
and committed Receptionist to join our friendly team. The role is a
permanent position offering 25-32 hours per week, working Monday to Friday.
The successful candidate will have excellent inter-personal,
administrative, and organisational skills.
Applicants are required to have excellent computer and
communication skills, both face to face and telephone.
Applicants need to be smart, professional, friendly, reliable,
and punctual. You will need to work well under pressure, be able to multitask,
pay attention to detail and have excellent customer care skills.
Flexible working is essential which may include some weekend
working.
Experience of working in a GP practice is desirable but not
essential as training will be given to the right candidate.
Main duties of the job
- Respond politely and appropriately to all queries and requests for assistance from patients and other visitors
- Check patients in and advise on delays
- Explain practice procedures to new patients or temporary patients.
- Enter requests for home visits on the clinical system
- Action GP requests to call patients from the triage list with an advice or appointment
- signpost patients to other services and healthcare provided
- Register new patients
- Update patient records accurately
- Ensure tasks are actioned in a timely manner
- Allocate and file results, action out of hours reports
- Ensure emails are read and actioned daily
- Effectively manage own time, workload and resources

About us
Alarge training practice in the city of
Nottingham,you will be working with a team of friendly experienced receptionists playing an
important part of a wider practice team and providing a first-class professional
service to our patients.
It is very important that all staff work together as part of a
team and support one another. The team consists of 7 GPs, 1 Clinical
pharmacist, a nursing team of 5, 4 secretaries, and 9 receptionists.
We also work closely with our neighbouring practices within our PCN to
help deliver services to the wider patient population

Reception Duties
Respond to all queries and requests for assistance from patients and other visitors
- Ensure total familiarity with all appointment systems. Book appointments as requested and ensure sufficient information is recorded to retrieve medical record.
- Mark patients as present on arrival at reception.
- Explain practice arrangements and formal requirements to new patients and those seeking temporary cover or immediate treatment.
- Advise patients of relevant charges for private services, accept payment and issue receipts.
- Enter requests for home visits received before 11.00 on to computer including all relevant information. Requests for home visits after 11.00 to be referred to the Duty doctor.
- Ensure appropriate checks are made when prescriptions are being collected in person.
- Action GP requests for emergency ambulance transportation and enter details in appropriate book
Medical Records
- Ensure all records are accurately assembled in advance of consulting sessions. Ensure the record is available for the doctor in the instances of extras or emergency consultations.
- Ensure records for patients being triaged are passed to Triage Nurse within 15 minutes of receipt of phone call.
- Retrieve and re-file records as required, ensuring the alphabetic order is adhered to.
- Ensure correspondence, reports, results etc are filed in date order in correct patient record.
Repeat Prescriptions
- Ensure that requests for repeat prescriptions are actioned and ready for collection within 48 hours.
- Receive patients requests for authorised repeat prescriptions whether in writing or verbally.
- With the exception of controlled drugs, print the prescription and place in appropriate doctors mailbox.
- Ensure the computer medical record is updated with details of the issue of the repeat prescription
- Ensure that problems and queries regarding repeat prescriptions are brought to the attention of the appropriate doctor and that follow-up action is taken as per the doctors instructions.
Telephone System
- Receive and make calls as required. Divert Calls and take messages as appropriate
- Ensure the system is operational at the beginning of each day and switched over to night service and answer phone at the end of the day.
Preparation of consulting room
- Ensure that the GP consulting rooms are prepared in readiness for each surgery.
- Periodically check full range of forms are available for allocated GP.
- Ensure consulting rooms are checked at the end of each surgery and left tidy and secure. At the end of each day switch off all computers and machinery.
Teamwork
- To work as part of the team and assist colleagues as and when required. To assist in the induction and training of new members of staff.
- To alter contractual working hours, within reason, to meet unforeseen circumstances.
